GED Full Job Description Position Description:

The Administrative Assistant is responsible for the overall coordination and management of the daily activities of the Technology Department. The Administrative Assistant anticipates technological challenges and notifies the Executive Director of Technology or the Director of Technology. Regular duties include the electronic management of the Executive Director’s calendar, schedule, responding to schools, departments and district needs. This includes the electronic preparation and processing of various reports, management of budgets, the compilation of statistical data, maintenance of appropriate files and budgets for Technology.

Executive Director of Technology Scope of Responsibility:

Works closely with the Executive Directors of Technology, the Director of Technology, and all technology staff members. Creates a customer service-oriented culture in the Technology Department and the Jefferson Parish Schools. Manages the office including clerical activities involving the routine flow of work, correspondence, requests for information, and coordinating with other activities including all Technology Department activities, and accountability. Acts as the liaison between the Executive Director of Technology, schools, departments, other administrative offices, and outside concerns in matters relative to Technology. Assists in the development, documentation, and production of schools reports as well as other various statistical reports, Board reports, and confidential data. Plans, coordinates, and often attends meetings, conferences, and activities of the Technology Department. Develops and maintains multiple computer files documenting a wide variety of activities and data which allows for the retrieval and compilation of this documentation. Attends training sessions on various software/hardware systems to upgrade knowledge to better service callers. Maintains security of electronic and prints records with regards to confidentiality, budget, employee information and student information including passwords that are issued for access to computer systems and databases. Consults with the Technical Support Specialists to insure maximum coordination of effort for schools. Performs all other duties as assigned by the Executive Director of Technology.

Skills and Qualifications:

We seek detail-oriented, independent self-starters who demonstrate an unwavering commitment to raising student achievement and who have a record of high performance in challenging situations. Successful candidates will also demonstrate and possess: Three + years secretarial experience. Working knowledge of MS Word, Excel, Power Point and the Google Suite. Experience at or above the level of a director/principal’s secretary. Documented experience in the use of personal computers in the workplace. Thorough knowledge of use of Internet, Business English, spelling, punctuation, and demonstrated proficiency with verbal and written communications. High school graduate or GED.

Desirable Qualifications :

Advanced knowledge of MS Word, Excel, PowerPoint and the Google Suite. Experience at or above the level of a director/principal’s secretary.

Physical Involvement:

Must be able to operate office equipment. Mobility skills necessary to access a variety of work locations and/or areas. Sitting is required most of the day. Standing, walking, reaching, bending, and lifting up to forty pounds is sometimes required. A portion of the workday is spent reading computer screens.
