As a key part of the front desk team, you will be responsible for creating a positive first impression, managing day-to-day administrative tasks, and ensuring smooth front office operations. This role is ideal for someone who is organized, personable, and able to multitask in a dynamic environment. Whether welcoming visitors, managing calls, or supporting internal departments, your role is essential in delivering a seamless experience. Key Responsibilities Guest and Client Interaction Greet visitors, guests, and clients in a professional and friendly manner Manage check-in/check-out procedures (if in a hospitality or clinic setting) Respond promptly to inquiries in person, via phone, and email Communication & Coordination Handle incoming and outgoing calls and route them appropriately Coordinate with various departments to ensure timely service and communication Maintain a visitor logbook and issue visitor badges as necessary Administrative Support Manage front office supplies, ensure inventory levels, and place orders when needed Receive, sort, and distribute incoming mail and deliveries Assist with data entry, filing, and basic documentation tasks Facility Management Maintain the cleanliness and organization of the front desk and reception area Report maintenance or facility issues to the appropriate department Ensure safety and security protocols are followed for visitors and staff Customer Service Provide information about the company’s services, policies, or procedures Handle complaints and escalate issues to appropriate personnel as needed Create a welcoming environment for guests and clients Qualifications High school diploma or equivalent; diploma or degree in hospitality or administration is a plus Proven experience in a front office, receptionist, or customer-facing role preferred Strong verbal and written communication skills Proficiency in MS Office (Word, Excel, Outlook) and familiarity with office equipment Professional appearance and attitude Excellent organizational and multitasking abilities Ability to handle sensitive and confidential information responsibly
