Office Manager Job Summary:
We are seeking a reliable, organized, and customer-focused Office Administrative Assistant to support the daily operations of our outpatient physical therapy clinic. The ideal candidate will play a vital role in ensuring smooth administrative and front-desk functions. A background in healthcare administration or prior experience in a clinical setting is preferred.
Key Responsibilities:
Greet patients and visitors in a professional and friendly manner. Answer and direct phone calls, take messages, and respond to inquiries. Schedule and confirm patient appointments using electronic scheduling software. Verify insurance coverage and obtain pre-authorizations as needed. Collect co-pays and process payments; manage patient billing inquiries. Maintain accurate and up-to-date patient records, both electronic and paper. Assist with intake forms, consent documents, and ensure HIPAA compliance. Communicate with physical therapists and support staff to coordinate care. Order office supplies and maintain inventory of administrative materials. Perform other general office duties such as filing, faxing, and scanning.
Qualifications:
High school diploma or equivalent required; associate’s degree or certification in healthcare administration preferred. 1+ years of administrative experience in a healthcare or clinical setting. Proficient in Microsoft Office (Word, Excel, Outlook) and EMR systems. Strong communication and organizational skills. Ability to multitask and work efficiently in a fast-paced environment. Friendly, professional demeanor with excellent customer service skills. Knowledge of insurance verification and basic medical terminology is a plus.
Working Conditions:
Standard office environment within a clinical setting. May involve prolonged periods of sitting, computer use, and occasional lifting of office supplies.
