The Office Services Clerk is responsible for the efficient operation of the New Orleans’ Office Services functions. Regular hours are 8:00 a.m. – 5:30 p.m. However, this position does need to be available to work until 6:00 p.m. as needed.
Essential Duties and Responsibilities:
Provides a high level of service pertaining to all office service functions including mail/fax room operations, reception, and records. Perform reception duties as needed. (i.e; answering and transferring phone calls, handle messaging / service requests in an efficient and professional manner, greeting visitors, scheduling conference rooms, and scheduling and coordinating audio/video conferences). Sort and deliver USPS mail to the office. Receive, log and deliver UPS, FedEx, DHL and other courier packages to the intended recipients. Route and deliver faxes electronically to their intended recipients. Send outbound faxes as needed. Coordinates with mail, delivery, and court service vendors. Occasionally, perform by-hand deliveries/pick-ups. Assists with maintaining postage account. Assist users with shipping questions, and associated vendor applications (i.e.; USPS, Pitney Bowes, UPS, and Federal Express). Tracks and solves issues with overnight and courier packages. Ensures necessary reports such as fax, postage, etc. are run in a timely manner. Ensures appropriate mail room logs for mail, fax, etc. are kept up-to-date and organized. Inventory, organize, and stock supplies in appropriate areas (i.e.; copy and supply rooms). Collect and reconcile necessary dray tickets/receipts for invoice processing. Scan documents/mail as necessary. Responsible for processing requests for record retrievals from offsite storage. This includes the pick-up and delivery of files / boxes from the requestor, and data entry into the records system. Provide excellent service to attorneys, management, staff and other professionals. Assists Manager of Office Services with projects and other duties as needed.
Education and Experience Required :
High school diploma or G.E.D. Some college preferred. Prior mailroom and records experience a plus. Prior experience in a law firm environment a plus.
Qualifications and Skills Required:
Ability to lift 30 – 50 pound boxes routinely. Computer literacy, including proficiency in MS Office Suite. Ability to accurately type 25 words per minute. Attention to detail. Professional verbal and written communication skills. Ability to meet deadlines and prioritize work in a high volume, service-oriented environment.
Performance Measures:
The Office Services Clerk’s performance will be evaluated by the Manager of Office Services and will be based on the following: General operating efficiency. Professionalism in dealing with Attorneys and staff. Ability to work in a team environment. Ability to effectively respond to issues, and perform follow-up on issues. Ability to adhere to schedule, policies, and procedures. Ability to prioritize and organize the workload. Ability to keep records up-to-date and organized. Ability to meet tasks and project deadlines, and use time wisely. Ability to handle tasks and projects assigned by the Manager of Office Services.
