Administrative Assistant Gulf Coast Construction and Restoration Mandeville, LA 70471 • Hybrid work Job description Job Overview We are seeking an organized and detail-oriented Administrative Assistant to support the daily accounts payable operations and administrative tasks. This position will work closely with various team members to ensure timely payments, accurate invoicing, and seamless office operations. The ideal candidate will have experience handling accounts payable processes, managing vendor invoices, and assisting with employee onboarding. Key Responsibilities 1. Accounts Payable Coordinate with our Financial Controller to ensure timely reconciliation of accounts payable reports. Review and process invoices from vendors. Verify sub-contractor payments and ensure that necessary documentation is submitted for processing. Upload all necessary payment documents into files and databases, collaborating with team members, regarding materials invoices and labor payments. Monitor and manage payments for vendors and subcontractors, ensuring they are paid on time and accurately. 2.

Office and Marketing Supply Management:

Monitor and order office and marketing supplies, ensuring the office is always stocked with essential supplies. 3.

Employee Onboarding:

Assist with onboarding new employees, including preparing and processing necessary paperwork and documentation. Ensure all safety and company compliance training materials are distributed to new hires. Ensure all new hired employees are provided with the company attire. 4.

Check Scanning:

Ensure that checks are scanned into the company account on the appropriate dates, working with team members to confirm deposit dates. 5.

Customer Service and Office Support:

Handle incoming calls to the office, directing inquiries and ensuring efficient communication between staff and clients. Provide general administrative support to the office, including data entry and filing. Required Skills & Qualifications Previous experience in accounts payable or accounting, preferably in construction or similar industries. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Excellent communication skills and ability to work collaboratively with team members and vendors. Familiarity with accounting software (e.g., QuickBooks Online, etc.) is a plus. Familiarity with Microsoft (Excel, Word, Powerpoint, etc.) Ability to handle sensitive financial information with confidentiality and accuracy. Proven experience as a personal assistant or in a similar administrative role. Strong data entry skills with attention to detail to ensure accuracy. Preferred Qualifications Experience in the construction or roofing industry. Familiarity with subcontractor payment processing and compliance requirements. Ability to adapt to new software tools and systems for project management and accounting.
