Responsibilities:

The Manager of Print & Postage Services is responsible for supervising the Print Coordinator and Mail Processor/Printing Assistant while overseeing the daily operations of the Print & Mail department. This role involves prioritizing workloads and engaging in hands-on tasks. A significant responsibility includes orchestrating and assisting with the production of course reading packets, which entails organizing and labeling them for distribution, as well as communicating updates to faculty, staff, and students regarding forms and deadlines. Additionally, the coordinator maintains a spreadsheet that tracks costs, volumes, inventory, and departmental budgets, while also managing the distribution of packets and handling any leftovers appropriately. Furthermore, the position requires providing support in printing reports, letters, and envelopes for various fundraising initiatives, collaborating with other departments on campus for diverse printing needs. Keeping up-to-date with USPS and UPS mailing rules and regulations is essential, as is managing permits and postage meter funds while processing daily outgoing mail using departmental account numbers. The coordinator also has budget responsibilities, including handling monthly chargebacks for postage, printing, and supplies, and working closely with the controller’s office on budget-related tasks. In terms of equipment management, the coordinator is tasked with operating and troubleshooting printing and mailing equipment, handling contracts and service calls, and forecasting equipment needs for purchase, lease, or sale. Effective communication of guidelines for general printing and mailing to the community is also a crucial aspect of the role. Customer service is emphasized through responding to emails, phone calls, and walk-in inquiries. Additionally, the coordinator serves as a backup operator knowledgeable about all equipment, manages time sheets and approval processes, and hires temporary help as needed.

Qualifications:

Associate’s degree plus at least 2 years relevant experience required, or equivalent combination of education and experience Knowledge of USPS and UPS regulations. Proficiency in printing equipment operation, troubleshooting, and strong computer skills (Word, Excel, PDF handling). Effective communication and good interpersonal skills for teamwork with diverse groups. Experience in decision-making for mail preparation and providing cost-effective advice. Experience managing direct reports and performing hiring evaluations. Ability to lift heavy materials and stand/move in a fast-paced environment. Application review will begin on June 27, 2025, and will continue until the position is filled. Pay range is from $64,000 – $72,000, commensurate with experience.
