Job Purpose The Grants and Budget Administrator plays a critical role in supporting the Harm Reduction Program by overseeing grants, budgets, contract compliance, and reporting systems. This position ensures the financial and operational integrity of program funding and supports cross-team efforts related to contract deliverables, program evaluation, and data management. Duties & Responsibilities Grants & Fiscal Oversight Coordinate the application, renewal, and submission process for public and private grant opportunities. Manage program budgets across multiple grants and funding sources. Track and reconcile monthly expenditures to ensure adherence to approved budgets. Collaborate with finance on budget modifications, projections, and closeout processes. Assist in the development of staffing projections and direct cost budgets. Support the Director in sustainability planning and proposal development. Contract & Compliance Management Monitor compliance with federal, state, and private funder regulations. Track deadlines, deliverables, and reporting requirements for all active contracts. Prepare and submit agency, state, and federal reports as required. Maintain well-organized digital and physical documentation for audit readiness. Participate in site monitoring visits and assist in ensuring internal procedures align with funder standards. Data Collection & Reporting Work with data staff to ensure accurate and timely data entry into internal databases. Support the development and maintenance of data collection systems tied to grant objectives. Generate reports that assess productivity, performance benchmarks, and financial metrics. Coordinate with program managers to ensure accurate and relevant documentation across sites. Program Operations Support Assist in aligning fiscal and contractual processes with evolving programmatic needs. Support internal systems and tools for efficient workflow and program tracking. Draft funder communications, internal memos, and budget narratives. Assist with grant-related planning and operational updates in team meetings. Stakeholder Communication Serve as a point of contact for funders and subcontractors regarding contract and fiscal matters. Represent the harm reduction program in fiscal check-ins, grant update meetings, and collaborative workgroups. Assist in preparing materials for funder convenings, advocacy meetings, or planning sessions. Qualifications Bachelor’s degree and 4+ years of relevant experience. Experience in grant management, budgeting, contract compliance, and reporting. Familiarity with public health funding streams and regulations (state and federal). Advanced Excel and budgeting skills, including comfort with multi-program tracking. Excellent organizational, analytical, and communication skills. Ability to work independently and collaboratively in a mission-driven environment. Understanding of harm reduction values and commitment to health equity. Based at Tapestry Health’s Regional Office in Springfield MA, with occasional travel (up to 10% of the role) to other sites or trainings. Physical Requirements Ability to sit at a desk for extended periods. Ability to enter data into a computer with repetitive hand and wrist motions. Ability to communicate via phone, email, and video conferencing. Occasionally lift and carry up to 25 pounds (e.g., office supplies, small packages). Ability to move within an office environment, including walking to meetings, retrieving documents, and accessing office equipment. Ability to maintain focus and perform work in a standard office setting with typical noise levels.
