Position Summary:
We are currently seeking a Part-Time Administrative Assistant (20-30 hours/week) to join our team, with the potential to grow into a full-time position for the right person. This role is ideal for someone who enjoys working directly with clients, has strong organizational skills, and values accuracy and professionalism in their work.
Key Responsibilities:
Answer and direct incoming calls in a warm, professional manner Schedule and confirm client appointments; manage firm calendars Maintain and organize client files (physical and digital) Assist clients with basic inquiries and document requests Prepare engagement letters, correspondence, and intake forms Distribute mail, scan, copy, and file documents Provide administrative support across practice areas, including: Assembling tax returns and estate planning documents Reviewing client-provided documents for completeness Basic data entry in QuickBooks or client portals Support general office organization, including maintaining office supplies Occasionally assist with marketing and client care tasks
Required Skills and Attributes:
Exercises discretion and handles sensitive/confidential information with the highest level of professionalism Loves interacting with people and building relationships Professional and compassionate demeanor Positive attitude and team spirit Highly detail-oriented, organized, and reliable Fluent in written and spoken English Strong communication skills (written and verbal) Ability to manage multiple tasks and meet deadlines Preferred (but not required)
Skills:
Proficiency with Microsoft Office (Word, Excel, Outlook) Familiarity with QuickBooks and document management systems Experience in an administrative or accounting role (CPA/law firm preferred) Willingness to learn and take initiative
Additional Information:
