Position Overview:
The Operations Assistant supports administrative and operational functions to ensure smooth and compliant service delivery across CPC’s programs. This position requires attention to detail, multitasking ability, and some level of comfort with the forensic population. Duties include but are not limited to assisting COO with administrative and organizational tasks, auditing/maintaining client records, assisting with billing and invoicing, supporting daily operations and administrative systems, and searching/maintaining treatment sites (offices) agencywide.
Primary Responsibilities:
Administrative Support:
Maintain agency schedule, database and work on implementation of new platform functions Assist the Chief Operations Officer with administrative tasks to support the overall department and agency Assist COO in the preparation of contract proposals and company reports/spreadsheets as requested Assist Operations in Organizations and Maintenance of the Operations Sharepoint Site Coordinate Office Openings/Closing, Maintenance, Leases, Fire Inspections and Keys Prepare and submit reports and finish assigned tasks accurately and on time Assist with reconciliation and invoicing when needed Assist in IMS updates/entries as needed
Client Documentation and Records:
Assist in filing client case documentation on Sharepoint Assist in internal auditing of treatment files in accordance with the Six Part File System Assist in database entries (e.g., A+ IMS) for live updates on client status and activity.
Communication and Coordination:
Serve as a liaison between the Board of Directors, the finance department and landlords Communicate clearly and effectively with COO and Operations Department on daily basis Attend and participate in meetings as requested Share ideas and innovations on improving our systems
Office Operations:
Answer phones, relay messages for both coasts Operate standard office equipment Make calls, including clients as requested Order and track office supplies and equipment Order and facilitate shipping/distribution of clinical resource materials Organize travel as requested for the Operations team
Other Duties:
Assist in organizing trainings, marketing programming, and conference details Assist in new staff orientation as requested Travel as needed; Office errands on East coast as needed Perform other duties assigned by the Chief Operating Officer •
Minimum Qualifications:
Associate’s degree; Bachelor’s degree in business, criminal justice, or a related field preferred Excellent communication, organizational, and computer skills Ability to work independently, handle multiple priorities, and meet deadlines Knowledge of modern office practices, procedures, and equipment Comfortable with subject matter (in writing or discussions) Ability to maintain professionalism and confidentiality in a sensitive work environment Experience with recordkeeping systems, billing processes, and Microsoft Office Reliable transportation Ability to deal with CPC’s population over phone
