Position Summary:
The Assistant to the President/CEO will provide high-level, confidential administrative and personal support to the CEO. This individual will be responsible for a broad range of tasks including managing personal finances, property and vehicle oversight, travel coordination, calendar management, and more. This role is ideal for someone who thrives in a fast-paced, high-responsibility environment, and who demonstrates discretion, initiative, and excellent organizational abilities.
Primary Responsibilities:
- Financial Management Manage personal and household bills, payments, and transfers Organize and maintain records for tax preparation and coordinate with external advisors Maintain and report on personal net worth statements Build and manage QuickBooks for the CEO and related entities
- Property & Vehicle Oversight Coordinate with contractors for home and estate maintenance Manage seasonal property openings/closings and oversee annual maintenance contracts Schedule and manage service appointments Track and maintain insurance policies and claims for homes, vehicles, and boats Register and inspect vehicles and boats across multiple states and ensure compliance with documentation requirements•Travel & Events Arrange domestic and international travel including hotels, flights, ground transportation, and itineraries Coordinate family and business travel logistics Manage logistics for personal events and attendance at various functions•Administrative Support Maintain personal and professional calendars Organize and store passwords and confidential information securely Assist with preparation of documents, agreements, and personal matters Provide support with speeches, presentations, and special projects
Skills and Requirements:
High level of discretion and personal integrity Excellent organizational and time management skills Strong problem-solving skills and the ability to work independently Ability to multitask and manage diverse responsibilities across properties, finances, and scheduling Proven ability to manage changing priorities and adapt to shifting demands with flexibility and professionalism Proficient in Microsoft Office Suite and QuickBooks Strong interpersonal communication skills; able to build and maintain professional relationships Minimum of a high school diploma required; bachelor’s degree in a related field preferred
