- We’re looking for an experienced, proactive, and detail-oriented
- Administration Assistant
- to support our Global Platform & Technologies(GPT) and Global Product & Solutions(GPS) teams.
This role offers a unique opportunity to work with a team that is bringing innovative new software platforms and solutions to market. You’ll be responsible for ensuring smooth operations across several aspects of running a large software development organization including equipment ordering, onboarding new employees, resolving expense report issues and organizing team workshops that are critical for success. You’ll also play a critical role in drafting communications and taking on special projects that require a mix of creativity and precision. To thrive in this role, you’ll need to work in partnership with our Executive Assistant. Together you will tackle the administration needs of the GPT and GPS team with urgency, good judgement and strong communications.

Role and Responsibilities:
- + Coordinate and schedule onsite events for the GPT/GPS team, ensuring seamless logistics, including travel, room bookings, catering, and audio-visual requirements. +

Communication & Correspondence:
- Draft and manage emails, letters, memos, and reports. Respond to internal and external communications with professionalism and poise. +

Employee Hiring and Onboarding:
- Assist with administration details related intaking requests for hire, entering them into our systems, ordering new hire equipment, etc. +
- Visa requests:
- Handle necessary work permits when we onboard international employees. +

Travel & Expense Expense Report Issue Triage:
- Be familiar with our expense report practices so that you can aid our
GPT / GPS
teams when issues arise. +

Special Projects:
- Provide administrative support to our team members in selected special projects that require administration support and project coordination. +

Cross-Functional Interaction:
- Interface with Engineering team, Product Management teams, financial teams and vendors. +

Document & Data Management:
- Prepare and organize reports, presentations, and data, ensuring accuracy and timely follow-up on action items

Experience:
- 2-4 years of administrative experience, including strong problem solving skills. +

Organizational Skills:
- Attention to detail with the ability to partner with Executive Assistants to prioritize, and manage multiple tasks effectively. +

Technical Proficiency:
- Skills in Google suite, MS Office (Outlook, Word, PowerPoint, Excel) and other web tools. +

Communication & Relationship Building:
- Strong verbal and written communication skills, with the ability to foster positive relationships. +

Confidentiality & Judgment:
- Experience handling confidential information and exercising discretion and sound judgment in decision-making. +
- Self-Motivation & Work Ethic
- : Highly motivated, proactive, and able to work independently with a sense of urgency, maintaining a high energy level and strong work ethic.
