We are looking for an organized, detail-oriented Office Assistant to join our team. This full-time role offers the opportunity to provide key administrative and clerical support to our attorneys, paralegals, and staff.
Job Duties:
Administrative & Clerical Support:
Provide general administrative support to attorneys, paralegals, and staff. Assist with organizing case files and tracking deadlines. Perform data entry to update and maintain client and case-related information. Draft, edit, and format emails, cover letters as needed.
Reception & Front Desk Duties:
Answer and direct incoming calls professionally, take messages, and handle client inquiries. Greet clients and visitors, ensuring a welcoming and professional environment. Schedule and confirm consultations for attorneys and paralegals. Manage the front desk, maintaining a clean and organized reception area. Process and distribute incoming faxes, emails, and other correspondence.
Mail & Document Handling:
Process and log incoming mail/packages daily, ensuring proper data entry and case tracking. Prepare and send outgoing FedEx shipments, tracking important deadlines. Track all shipments to/from destination to ensure delivery. Package immigration applications and supporting documents for submission to USCIS and other agencies.
Office & Supply Management:
Maintain inventory of office supplies and place orders as needed. Ensure workspaces, supply areas, and the reception desk are well-stocked and organized.
Technology & Communication:
Utilize Microsoft Outlook, Planner, and Teams for communication and task coordination. Maintain internal tracking systems to monitor case progress and deadlines.
Required Qualifications & Skills:
Education:
Associate degree required. Bachelor’s degree is a plus.
Experience:
Minimum 1 year of office experience required. Prior experience in an immigration law firm is a plus.
Technical Proficiency:
Strong typing skills are essential. Proficiency in Microsoft Outlook, Planner, and Teams is a must. Experience with data entry, case tracking, and maintaining organized digital and physical files.
