Administration General Statement of Duties and Responsibilities:

Under the direction of the Program Director and the Director of Nursing the Office Assistant will be responsible for day-to-day operations of the office and administrative services of the agency, including but not limited to GAFC and AFC. Process billing and claims for multiple insurance carriers (i.e., Commonwealth Care Alliance, Boston Health Net Plan, Fallon, Tufts Health Plan, Senior Whole Health and United Health Care), Collect timesheets, review for accuracy and assist with processing Payroll, Review patient(s)/Member(s) eligibility, Run back ground checks for all employees, Maintain database(s) and spreadsheet(s) for a variety of information, Maintain agency’s filing system, pertinent care paperwork. Providing administrative services for a variety of office tasks, reviewing paperwork, and managing schedules, works closely with Agency’s clinical team and Program Director, Director of Nursing, Case managers, Home Health Aides and Marketing and Outreach Team. Responsibilities include office and administrative services of the agency, assist with coordinating HHA’s PCHM’s and CNA’s staff coverage is maintained at all times, provide timely response to service request in the office, over the telephone, through electronic mail and regular mail. Assign task to subordinates and temporary employees, and reviews assignments for accuracy and timely completion. Assist with Orientation training for all new employees, Assists the Program Director, Director of Nursing, Case Managers and Director of Marketing in meeting all goals, procedures, and protocols required by law as well as those established by the Agency. Assist and encourages staff members to develop and implement innovative approaches to work assignments. Performs other related duties as needed.

Minimum Entrance Qualifications:

At least 2 years of full-time or equivalent part-time, professional or technical experience in office management, including 1 Year of experience in Home Care or Clinical Setting. Must be familiar with Group Adult Foster Care (GAFC) and Adult Foster Care (AFC) services; Knowledge of MassHealth, Executive Office of Health and Human Services, and the Office of Elder Affairs policies and procedures. MS Office Suite, Web experience, computer and data processing proficiency required. Familiarity with SAMS Case Management system is preferred. Ability to follow complex instructions and communicate effectively with Staff, Participants and Families, Insurance carriers, Multidisciplinary Team (Doctors, Nurses, Case Managers, Social Workers), HHA’s, PCHM and CNA’s. Work flexible schedule as necessary. Reliable Transportation needed.
