Personal Assistant Spectrum Clinical Research Boston, MA 02115
Position Summary:
The Personal Assistant to the CEO will provide comprehensive personal, administrative, and executive support to ensure the CEO’s daily activities run smoothly, efficiently, and on schedule. This highly organized individual will manage personal and professional logistics, serve as a trusted extension of the CEO, and proactively handle a variety of errands, scheduling, and coordination tasks with discretion, attention to detail, and professionalism.
Key Responsibilities:
Daily Personal Support:
Coordinate and arrange daily meals, ensuring timely delivery or preparation. Manage personal errands, including but not limited to: grocery shopping, pharmacy pickups, dry cleaning, and Office Depot/supply runs. Serve as point of contact for personal shopping needs, gift selection, and delivery coordination. Handle hospital administration follow-up, scheduling medical appointments, and communicating with providers as needed.
Administrative & Scheduling Support:
Maintain and coordinate the CEO’s personal and professional calendar, including appointments, meetings, events, and travel arrangements. Serve as event and schedule coordinator for both professional and personal events. Track important dates (birthdays, anniversaries, professional milestones) and proactively send flowers, greeting cards, thank-you notes, and gifts on behalf of the CEO. Ensure the CEO’s daily schedule is optimized and prepare daily briefings with reminders and key information.
Executive Research & Project Assistance:
Conduct research on various topics as requested, including healthcare, vendors, administrative tasks, and travel logistics. Prepare concise reports, summaries, or recommendations based on research findings. Provide administrative support for special projects as assigned.
Organization & Task Management:
Maintain an organized system to track personal and professional tasks, deadlines, and follow-ups. Serve as a point of coordination with household staff, vendors, and service providers. Anticipate needs and proactively resolve issues before they escalate.
Qualifications:
Prior experience as a Personal Assistant, Executive Assistant, or Household Manager. Exceptional organizational and time management skills. High level of discretion, confidentiality, and trustworthiness. Strong communication skills and professional demeanor. Ability to manage multiple tasks simultaneously with a high degree of accuracy. Proficiency with digital scheduling tools, task management software, and online research. Reliable transportation and flexible availability as needed.

Part-time Pay:
$25.00 – $30.00 per hour Expected hours: 4 – 12 per week
