Community Center Position Summary:
The Administrative Assistant provides essential support to the Community Center, which offers multi-generational Recreation programming and Council on Aging (COA) services. This role involves administrative tasks, customer service, program coordination, and facility management to ensure smooth daily operations and a welcoming environment for all community members. The position also supports the work of the COA, Recreation Department, Board of Health (BOH), and other town committees as needed, contributing to the overall coordination and communication across departments.
Key Responsibilities:
Front Desk & Customer Service:
Assume the role of greeter/receptionist, ensuring a warm and welcoming atmosphere. Ensure residents sign in and provide assistance as needed. Field phone calls, provide information, and direct inquiries to the appropriate staff. Accept verbal registrations for programming and update records accordingly. Provide walk-in residents with tours, directions, program explanations, and assign membership cards.
Administrative & Program Support:
Maintain accurate records, schedules, and registration lists for programs and events Assist in scheduling and coordinating facility usage for programs, meetings, and special events Set up Zoom meeting links and prepare committee agendas as needed Complete meeting minutes for Council on Aging Committee and Recreation Committee meetings File documents for the Board of Health (BOH) as needed Create flyers and promotional materials for Council on Aging and Recreation Department programming Manage bulletin boards and digital screens to keep the community informed Assist in data entry and reporting for program participation and effectiveness Support the identification of grant opportunities for funding programs and facility improvements Help identify new programming for the Council on Aging services and the Recreation Department Create and distribute weekly room agendas
Facility & Event Coordination:
Assist with opening and closing procedures for the center. Assist with furniture and room set up for programs and events. Oversee aesthetic management of key community spaces, including the splash pad, playground, and patio, ensuring cleanliness and appeal. Provide support as needed for Meals on Wheels and other community services. Assist with serving weekly meals Assist with errands for the center, beach, and summer programming.
Qualifications:
High school diploma or equivalent required; associate’s or bachelor’s degree preferred. Previous experience in an administrative, customer service, or community center setting is a plus. Strong organizational and multitasking skills with attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills. Ability to create flyers and digital content using design tools (Canva, Publisher, or similar). Excellent communication and interpersonal skills with a welcoming demeanor. Ability to work independently and collaboratively in a fast-paced environment. Familiarity with senior services, recreation programs, or municipal government operations is a plus.
Work Schedule:
- Part-time position, up to 15 hours per week
- Hours vary within Monday
- Friday, 8:30 AM
- 4:30 PM, with flexibility based on applicant availability
