Job Title:
Program Administrator Job Description Dirigo Support Professionals is seeking a dedicated and detail-oriented Program Administrator to join our team. Reporting to the Chief Operations Officer (COO), the Program Administrator will play a crucial role in overseeing daily operational tasks, ensuring compliance with HCBS regulations, and supporting the overall administrative functions of the residential services.

Chief Operations Officer Key Responsibilities:
Review and ensure the accuracy and completeness of daily progress notes. Maintains all program binders including intake and annual paperwork. Provide constructive feedback to team leaders and DSP staff. Complete quarterly SIP reviews with members and report changes to case management Monitor and manage grocery and activity funds usage. Collect receipts and other supporting documents from Team Leaders (TLs) to ensure compliance with financial guidelines. Primary responsibility for the oversite of medication administration practices, records and assist with refills by CRMA staff. Ensure proper documentation of doctors’ orders in place and report any discrepancies. Ensures all members are up to date all medical and dental appointments Work with Team Leaders to maintain an accurate schedule and proper staffing levels are maintained on ERS. Ensure staffing patterns meet approved hours. Ensures and coordinates new hire placement with HR and Team Leader to ensure scheduling in accordance with the staffing pattern. Ensures all DSP and Team Leaders are up to date on training in accordance with the State of Maine. Ensure adherence to attendance policies and report issues and HR Team (HRT). Completes the intake and discharge processes for supported individuals, including pre-placement meeting, training needs and coordination of team members schedules and medication needs with Team Leader. Coordinate with planning teams to facilitate smooth transitions. Establishes and maintains positive relationships with guardians, Case management, outside providers, has establishes, frequency and content of communication. Conduct HCBS compliance inspections and provide on-site training to staff as needed. Manage reportable events and ensure timely follow-up and compliance with incident reporting procedures. Responsible for professional development of Team Leader and each home staff, hiring, orientation, supervision, evaluations, training, staff meetings and performance issues. Provides weekly on-site supervision of Team Leader and staff (as applicable) Acts as a role model for Team Leaders and DSP staff. Maintain physical home in accordance with state regulations and HCBS rules. Ensures all staff are providing services according to the Home and Community Base Service rule. On call rotation every 4 weeks. Completes other related tasks per the request of the direct supervisor.
Requirements:
A bachelor’s degree in a related field is preferred. 3-5 years of experience in operations management or a similar role. Strong organizational and communication skills. Ability to handle multiple tasks and prioritize effectively. Knowledge of HCBS compliance and regulations preferred. Proficiency in relevant software applications (e.g., ADP, Therap). DSP certification, CRMA certification, CPR certification, and CPI certification.

Salary Range:
$50,000 to $60,000 annually
