JOB SUMMARY
We are seeking a dynamic and detail-oriented Account Program Administrator to join our team and play a crucial role in supporting a broad range of administrative, operational, and programmatic activities across the business. This role plays a vital part in executive administrative support, employee recognition, safety and engagement campaign support, vendor and swag coordination. The ideal candidate will also provide light communications and presentation support, while assisting with change management and transition planning. We’re a fast-paced, highly collaborative team that values initiative, clear communication, and accountability. This position requires strong organizational skills and the ability to manage multiple executive stakeholders.
WHAT YOU’LL DO
Provide Executive Administrative Support + Manage calendars, travel arrangements, and expense reporting for assigned executive leaders, and ad hoc requests + Coordinate ad hoc travel bookings for account senior leadership candidates or other senior team members who travel infrequently + Coordinate large-scale meetings and events (e.g., account all hands, client summits), including run-of-show creation and meeting prep + Support administrative aspects of large-scale transitions and change initiatives + Maintain a centralized and current business status data bank with key account stats, business updates, and reference materials for leadership use + Prepare and route NDAs and other change management and transition-related documents via DocuSign and maintain status tracking Coordinate Recognition & Engagement Programs + Manage logistics and reporting for several employee recognition programs + Facilitate quarterly safety and engagement campaigns, including recognition fulfillment and performance tracking + Collaborate with People, Finance, and other internal stakeholders to align engagement programs with broader business goals + Maintain accurate reporting, records, and program documentation Support Vendor & Swag Logistics + Lead execution of swag projects (holiday gifts, mid-year appreciation, event giveaways), including vendor management, order tracking, and resolution of shipping escalations across global regions (North America, EMEA, APAC) + Oversee swag webstore management, including inventory checks, price matching, and timely invoice processing for a globally dispersed team + Coordinate work assignments with vendors and provide vendors with items necessary to complete projects Contribute to Communications and Account Tools & Resources + Manage shared inboxes and Teams sites to ensure timely responses and organized resources + Support formatting and content creation for executive presentations, memos, and campaigns + Update and maintain the internal document library + Other tasks as assigned

EDUCATION AND EXPERIENCE
+ Bachelor’s degree preferred or equivalent combination of education and relevant administrative experience. + 3+ years in an administrative or executive support role.

+ Strong written and verbal communication skills. + Ability to draft professional emails, internal memos, and presentation content with clarity and accuracy. + Comfortable interacting with all levels of leadership, cross-functional teams, and external vendors.
FINANCIAL KNOWLEDGE
+ Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. + Ability to reconcile budget items and collaborate with Finance on program expenditures.

+ Comfortable working with ambiguity and adapting to change. + Strong problem-solving skills and sound judgment. Requires intermediate analytical and quantitative skills. + Excellent organizational skills and the ability to manage multiple tasks and projects with competing deadlines.

TRAVEL REQUIREMENTS/WORK SCHEDULE
+ This is a fully remote role, with minimal travel (less than 20%) that may be required for team meetings or event support. + Some flexibility in working hours may be required to support teams across global time zones, primarily across North America. + Centrally located in MST or CST time zones preferred for optimal team support coverage.
