TITLE:
Administrative Assistant
JOB SUMMARY
Provide administrative, organizational, and clerical support to the Executive Director and other personnel as required to assist with operations.
ESSENTIAL FUNCTIONS
In coordination with the Human Resources Manager, ensure smooth operations throughout the office. Provide general office and administrative support. Handle all incoming calls and manage 3CX. Retrieve voicemail messages from the general mailbox and distribute them to the appropriate associate. Receives the public and answers appropriate questions, referring more specific questions to the appropriate associate/department. Promotes resources and services provided by BangorHousing” Direct the public to other housing resources if BangorHousing does not fit their needs. Collection of any money owed including general assistance voucher payments, if needed) Creates work orders for the Maintenance Department. Internal and external customer service. Oversee and maintain office supply inventory including all standard and non-standard supplies. Assists in ordering office equipment/furniture. Prepare rooms and facilities for meetings, seminars, etc. as requested. Prepare for, attend and take minutes at Board Meetings. Filing. Handling of all incoming, outgoing mail, assisting all departments with mailing and special projects. Prepare and scan invoices to Avid if needed; postage meter usage and maintenance Open and close the office at appropriate times if needed. Making sure appropriate phone message is on phone system when closed for holidays or weather. Other duties as assigned.
QUALIFICATIONS
High School Diploma or equivalent. Minimum of 2 years of office experience. Excellent communication skills. Proficient in major office software applications. Excellent keyboard skills. Ability to organize work, withstanding frequent interruptions and work independently. Ability to set and reset priorities, multitask, and possess flexibility as business needs shift. Ability to exercise judgment, think proactively, show initiative and possess problem solving skills. Ability to maintain confidentiality.
