The Clerical Specialist II

  • Restitution is responsible for performing general clerical duties related to the functions and responsibilities of the Penobscot County District Attorney’s Office under the general supervision of the District Attorney. The District Attorney’s Office operates according to the Maine Rules of Criminal Procedures. A Clerical Specialist II
  • Restitution is also responsible for entering payments, preparing deposits, processing payout letters and preparing motions. In absence of Office Manager, the Clerical Specialist II
  • Restitution may be assigned responsibilities of the Office Manager.

Possess a valid Maine Driver’s license.
Understand and work within Penobscot County Government and District Attorney’s Office Policies and Procedures.
Work collaboratively as a member of a team with various groups of staff and elected officials depending on the issue addressed.
Accept shared responsibility with other team members to successfully accomplish goal of each team of which he or she is a member.
Assure quality in work performed in order to facilitate the delivery of quality services.
Maintain confidence and protect the County by keeping information concerning clients and County operations confidential.

Essential Duties/Responsibilities:

Greets and screens visitors to the office referring them to the appropriate staff members.
Follows up on the cases by tracking them and entering new information into the computer (Justware System)
Enter Payments and prepare deposits.
Process payout letters.
Use a vouchering system to clear payments.
Prepare files for court.
Update restitution files.
Set up new restitution cases.
Enter specific information into a database and file with the state of Maine.
Reconcile bank statements with an online payment portal and Justware.
Prepare court documents and letters.
Interact with the Department of Corrections and the courts.
Ability to prioritize and prepare files in a timely manner.
Maintains professional and technical knowledge by attending educational workshops; establishing personal networks; participating in professional societies.
Contributes to team efforts by accomplishing related results as needed.
Follows all County and Department personnel policies.
Fulfills job function by participating as an active member of training; participating on county task forces and performing other responsibilities as assigned.
Performs other duties as requested by the District Attorney and the Office Manager.

Special Assignments:

In absence of Office Manager, the Clerical Specialist II

  • Restitution may be assigned responsibilities of the Officer Manager.

Special Assignment to be assigned once candidate is selected.
