Overview:

We are seeking a highly organized, detail-oriented, and customer-focused Office Administration Assistant to provide essential support in maintaining smooth office operations. This role involves performing a variety of administrative tasks, including managing office supplies, scheduling meetings, handling communications, and offering outstanding customer service both in person and over the phone. The ideal candidate will have excellent multitasking skills, a positive attitude, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

Answer phone calls, respond to emails, and manage general inquiries with professionalism and courtesy, ensuring a positive customer experience Greet and assist visitors, creating a welcoming and helpful environment Provide support to customers by addressing their questions, concerns, or requests and ensuring timely resolution Schedule appointments, meetings, and calls for team members, ensuring proper coordination Maintain office supplies inventory and assist with ordering and restocking as needed Organize and manage files, documents, and correspondence to ensure easy retrieval and compliance with organizational systems Assist in the preparation and formatting of reports, presentations, and other documents Prepare and process invoices, receipts, and other financial documents in collaboration with the accounting department Maintain customer records and update database information as required Support the development and improvement of customer service processes, ensuring consistent and effective communication with clients Handle basic HR-related tasks, such as assisting with onboarding new employees and maintaining employee records Assist and process payroll Perform general clerical duties such as photocopying, and mailing Assist with event planning and coordination of office activities, team meetings, and company events Support other administrative staff and managers as needed

Qualifications:

High school diploma or equivalent; additional education in office administration, customer service, or related field is a plus Proven experience in an administrative or office support role, with a strong focus on customer service Strong organizational skills and ability to prioritize tasks Excellent verbal and written communication skills, with the ability to interact with customers professionally Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Strong attention to detail with the ability to work independently and as part of a team Ability to handle confidential information with discretion Strong time management skills and ability to manage multiple tasks simultaneously Positive attitude and proactive approach to problem-solving Experience in customer-facing roles with a focus on providing excellent service How to
