Essential Duties and Responsibilities The following duties are normal for this position. These are not to be construed as exclusive or all- inclusive. Other duties may be required and assigned. Prepares and monitors all juvenile related papers, legal documents, juvenile files, correspondence, and miscellaneous records. Including, but not limited to: petitions, subpoenas, motions, court orders, certificates of service, and other court documents. Data entry of correspondence and related documents into the Judicial Information System (JIS). Assists in the training of new staff. Sets up and prepares court hearing information for filing. Files appropriate correspondence. . Communicates with appropriate personnel regarding court hearing dates. May enter court charges into the data base. Understanding of all unit processes and procedures. Orders any additional reports needed from other departments, schools, and police departments as needed. May organize statistics gathered from various sources and compiles into necessary documents. Demonstrates the ability to multi-task, be organized, work independently, and be detail oriented. Perform administrative support tasks unique to division. Demonstrates sensitivity to privacy needs and confidential communication. Duties and responsibilities may be changed, expanded, reduced, or deleted to meet the business needs of Greene County Family/Juvenile Court. Additional Tasks and Responsibilities While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members. Requests certified copies from clerk of court. Demonstrates appropriate judgement to rearrange priorities, cancel, and reschedule certain activities due to urgency of more time sensitive tasks. Screens and directs incoming phone calls when covering the front desk during training, breaks, vacation, etc.; demonstrates a professional, courteous manner. Demonstrates sensitivity to privacy needs and confidential communication. Works independently. Ensures warm, friendly, and respectful treatment of each person. Assists other Divisions when needed. Faxes, emails, and/or scans documents to attorneys and businesses. Assists in date stamping incoming mail and distributes mail when working at the front desk. Schedules and secures conference rooms for staff when working at the front desk Offer and provide assistance whenever priorities dictate. Able to accomplish assigned tasks by meeting timelines and deadlines. Complete data entry as needed. Knowledge of MS Word and MS Excel. Complete timesheets. Minimum Training and Experience Required to Perform Essential Job Functions Vocational/technical training in secretarial science or related area, three years professional secretarial experience preferably in a legal setting with proficiency in word processing. A valid Missouri Motor Vehicle Operator’s license is required. Ability to communicate orally and in writing with victims, witnesses, attorneys, Judges, defendants, victims, witnesses, medical care personnel, bank employees, probation and parole personnel, court clerks, law enforcement personnel, and the general public. Mathematical Ability Ability to add, subtract, multiply, divide, and calculate percentages, fractions, and decimals. Judgment and Situational Reasoning Ability Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Physical Requirements Ability to operate, maneuver, and/or steer equipment including, computer terminal, telephone, fax machine, calculator/adding machine, and photocopier. Ability to coordinate eyes, hands, feet, and limbs in performing skilled movements such as rapid key board use. Ability to exert very moderate physical effort in sedentary to light work, typically involving picking up, lifting, carrying, pushing, and pulling up to 25 pounds. Ability to recognize and identify degrees of similarities or differences between characteristics of shapes associated with job-related objects, materials, and tasks. Environmental Adaptability Ability to work under generally safe and comfortable conditions where exposure to environmental factors may cause discomfort and poses little risk of injury. Condition of Employment Employee will be required to demonstrate continued knowledge of this position’s current regulations and requirements. Sustained satisfactory performance is required.
