Overview:

We are seeking a dedicated and detail-oriented Administrative Assistant to support the daily operations of our retail storefront and real estate business. This is a dynamic, multi-faceted role ideal for someone who is proactive, highly organized, and comfortable juggling a variety of administrative tasks in a fast-paced environment. The ideal candidate will have prior experience in administrative support, possess excellent communication skills, and be familiar with platforms such as Shopify or similar e-commerce systems . An understanding of branding, customer experience, and professionalism across both retail and real estate is highly valued.

Key Responsibilities:
General Administrative Support:

Answer and direct phone calls with professionalism and strong phone etiquette Assist in calendar management, appointment scheduling, and coordinating internal/external meetings Maintain organized filing systems for digital and paper records Draft, edit, and proofread documents and client communication Provide internal support to team members and assist leadership with various tasks

Retail Support:

Help manage inventory entry, product descriptions, and tagging in Shopify or similar systems Assist with e-commerce operations including online order fulfillment and customer communication Support store branding initiatives by ensuring product presentation and online listings align with brand voice

Real Estate Support:

Prepare and organize real estate documents, marketing materials, and compliance paperwork Help maintain CRM and listing databases (MLS input, updates, etc.) Support transaction coordination (scheduling inspections, follow-ups, and document management) Assist in event coordination for open houses and client appreciation efforts

Branding & Customer Experience:

Represent our dual brands (retail and real estate) with consistency and professionalism Help uphold our brand’s voice and aesthetic in both digital and client-facing materials Provide friendly, informed customer service both in person and online Contribute to marketing efforts, such as social media scheduling, email newsletters, and promotional coordination

Required Skills & Qualifications:

Strong organizational and multitasking abilities Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Experience with Shopify, or similar retail/e-commerce platforms Familiarity with real estate platforms (MLS, Dotloop, or similar) is a plus Excellent communication skills (written and verbal) Attention to detail, especially when proofreading and preparing client-facing materials Ability to adapt to changing priorities and work independently or as part of a team Friendly, approachable, and confident in client interaction

Preferred Qualifications:

Previous experience in retail, real estate, or a multi-industry support role Comfort with social media platforms and digital branding Experience with POS systems, shipping platforms, or appointment scheduling tools Graphic design familiarity is a plus (Canva, Adobe, etc.) Why Join Us?
