ADMINISTRATIVE ASSISTANT – CLASS IV, ACADEMIC SERVICES QUALIFICATIONS

Any combination of education, training, and experience equivalent to the completion of a high school diploma. Additional preparation and/or college work preferred. Proficient in Microsoft Office Word, Excel, Access, and PowerPoint software applications. Strong organizational skills, multitasking, and the ability to work with little supervision are required. At least three years of effective and relevant work experience preferred. Possession of the knowledge, skills, abilities, and physical attributes necessary to perform the essential functions of the position. Demonstrates effective human relations and communication skills. Such alternatives to the above qualifications as the Board may find appropriate or acceptable.

JOB GOAL

To ensure the smooth and efficient operation of an office so that the department’s maximum positive impact on the education of children can be realized.

ESSENTIAL DUTIES AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and abilities required. Demonstrates skill and efficiency in the operation of general office equipment. Formats, types, or creates confidential and general correspondence, reports, memorandums, forms, statistical data, etc., as required or assigned. Maintains files and records accurately, confidentially, and in a timely manner. Protects information by completing and maintaining documentation with strict confidentiality. Holds conversations in a manner that respects privacy. Communicates in a pleasant and respectful manner and handles all communication with professionalism. Performs budgeting, requisitioning, and bookkeeping tasks as established by district rules and regulations. Maintains the supervisor’s calendar and arranges travel for the supervisor or other staff as needed. Willingness to be cross-trained and provide support to all team members and other departments when necessary. Demonstrates the ability to work with other team members to complete tasks in a timely manner. Responds to inquiries in a timely manner. May require the analysis of facts and circumstances to conclude and make recommendations for solving problems within the limits of standard or accepted practice. Has a diversity of duties and responsibilities involving knowledge and application of district policies and procedures that require considerable independent judgment in the determination of action to be taken. Demonstrates effective human relations and communications skills, providing a positive customer service experience to every patron and all employees. Acts independently to perform many day-to-day job functions through to completion with little or no supervision. Regular and consistent attendance is an essential function of this position. Follows good safety practices. Adheres to all district rules, regulations, and policies. Other duties as required or assigned.

PHYSICAL DEMANDS

The individual who holds this position is regularly required to walk, hear, and speak, and must have close, moderate, and distance vision ability. This individual must be able to travel between district facilities. The position requires a moderate amount of travel and physical activity.

The work environment is consistent with a typical office/school environment.

Salary and work calendar to be established by the Board of Education. Benefits according to Board policies. F.L.S.A.: Non-Exempt, Administrative.
