The position is part-time, non-exempt and is located at the Blue Springs campus at 601 NE Jefferson St. Blue Springs, MO 64014. Please see below for a full job description. Job Summary The Coordinating Assistant provides administrative support for the Location Pastor and helps manage daily operations for the location. This position is also a member of the church-wide Administrative Professional team, which provides for the development of administrative professionals across the organization with focus on skills, cross-training, use of technological tools and cross-divisional collaboration.
Essential Responsibilities and Expectations :

Position-Specific Professionally represent the location and the staff team, including providing reception for guests and serving as an initial point of contact with inquiring congregants and visitors, answering questions and routing phone calls during business hours. Collaborate and submit various communications requests (including loop slides, newsletters, worship announcements, location web page and physical signage) with both Location leadership and Resurrection Experience division, including completing Resurrection Experience forms as needed. Maintain calendars for the Location Pastor and ministry team, exercising professional discretion regarding the scheduling of appointments, meetings, and events. Provide support for operational matters related to the office and daily business including working with the Director of Operations to support events at the location by purchasing, ordering and managing supplies when needed. (example: Blood Drives on site) Maintain Rock database and registrations, as needed. Support the oversight of the team budgets and expenses, including purchasing, expense reports and reimbursements, invoices, contractual arrangements and budget planning. Manage and respond to incoming correspondence. Receive, distribute and notify staff of deliveries by congregants, shipping carriers, mailbox and weekly courier. Coordinate membership events by preparing materials, sending invitations and preparing a new member list for the staff for follow up connections. Connect the Location Pastor with third time visitors and fifth time visitors. Assist with decorations or handouts for events as needed. Assist as needed with facility operations including requesting or meeting repair people and submitting all facilities work order requests including alarm access and key card requests. Work alongside the pastor with Donor Development and Stewardship campaigns providing administrative support as needed. Manage the location baptism calendar and collaborate with the churchwide baptism coordinator, schedule 1:1 appointment with the pastor and receive baptism certificates for the pastor to sign and give to the family. Provide funeral and wedding support and preparation as needed, including creating bulletins and off-site wedding invoicing. Provide administrative oversight for projects and events, along with the Director of Operations, such as making room reservations, overseeing and assisting with set up, invitations, and catering. Assist and provide support for Blue Springs Location events which may happen on nights or weekends, as needed. Assist as needed with facility operations including requesting or meeting repair people and assisting the facilities staff as needed. General administrative support, and other duties as assigned. Professional experience of at least two years in an administrative position or customer service. Proficient in database management (ROCK), Canva and Microsoft Office Suite (Outlook, Word, Excel, and Teams). Ability to learn and operate coffee grinder and machine, copier/printer, and office equipment. Strong attention to detail, as well as versatility, flexibility and willingness to adapt to changing priorities, processes and schedules. Responsible and trustworthy regarding sensitive and confidential information. Excellent interpersonal skills, both over the phone, written and in-person. Ability to remain calm and composed under pressure. Flexibility to adapt to changing priorities and responsibilities. A positive attitude and a genuine passion for providing exceptional service.
Physical requirements:
moderate physical activity including the lifting, pulling or pushing of items up to 30 pounds. Work Environment This position is located in a professional office setting and involves sitting at a front desk for extended periods of time.
