DESCRIPTION
BENEFITS The Administrative Assistant will serve as an ambassador of the Health Sciences office as the initial contact in the building for faculty, staff, students, and college visitors. In addition,anizational skills and Microsoft Office proficiency will be necessary for efficient operation of the health sciences office. Qualifications
Associate Degree preferred. This position requiresanizational, clerical, andputer skills (word processing and spreadsheet applications) in addition to excellent interpersonal skills with ability to problem solve, locate information and maintain office confidentiality.
Job Responsibilities
The Administrative Assistant shall:
Perform typing and filing;
Sort and distribute iing mail;
Serve as receptionist, providing excellent customer service for faculty, staff, students and guests.
Maintain equipment inventory records;
Coordinate meetings and appointments for the Dean of Health Sciences, Director of Health Sciences and the Coordinator of the Practical Nursing Program;
Order supplies and maintain all records for the Health Sciences division;
Perform general secretarial duties which include answering the telephone and greeting visitors to the office;
Assist in the management of due dates for various State Board of Nursing reports and other reports, surveys, etc.;
Maintain goodmunication between the Dean, Director, Coordinator, faculty, staff and students;
Maintain confidentiality of records and information related to the office;
Maintain record of Health Science personnel absences and process appropriately;
Maintain system and data for student evaluation of instructors;
Prepare and publish instructor office schedules;
Update and maintain syllabi, degree plans and course descriptions through the appropriate channels;
Assist with the logistics and planning of faculty professional development days;
Prepare admission packets for the health sciences programs andmunicate information to potential candidates;
Enter admission data into excel spreadsheets;
Maintain student files including vetting documentation both physical and digital;
Distribute mail to appropriate office sand mail boxes;
Prepare and mail diplomas and certificates after each graduation date;
Perform other duties as assigned by the Dean and Director of Health Sciences or the President of the College.
