We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This position plays a critical role in supporting the administrative and accounting functions of the sales department. The Administrative Assistant will be responsible for assisting with accounts receivable and payable tasks, maintaining accurate sales records, handling sensitive customer inquiries, and ensuring that all administrative duties are completed in a timely and professional manner. The ideal candidate is a proactive self-starter with excellent communication skills, strong attention to detail, and the ability to thrive both independently and in a team environment. This opportunity is available in the following location: St.

Louis, MO Responsibilities:
  • Prepare and issue accounts receivable invoices, accurately post incoming payments.
  • Input accounts payable data and process timely payments to vendors.
  • Monitor and ensure all vendor invoices and statements are paid according to schedule.
  • Generate weekly and monthly reports for Account Managers and leadership.
  • Maintain and organize sales records by collecting appropriate documentation and following established record-keeping protocols.
  • Support the management of customer credit limits and assist with credit inquiries.
  • Respond to customer inquiries regarding materials and account information, often involving confidential or sensitive data.
  • Provide general administrative support and assist with special projects as directed by the Administrative Specialist or VP of Sales Basic Qualifications (Required Skills/Experience):
  • Associate’s degree in Accounting; equivalent work experience will be considered.
  • Strong verbal and written communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Demonstrated customer service orientation with a professional and courteous demeanor.
  • High level of attention to detail and excellent organizational skills.
  • Capable of prioritizing tasks effectively and managing time efficiently.
  • Strong analytical thinking, problem-solving, and issue-prevention abilities.
  • Proficiency in Microsoft Office Suite, particularly Excel; experience with accounting software is a plus. Preferred Qualifications (Desired Skills/Experience):
  • Bachelor’s degree in Accounting, Business Administration, or a related field.
  • 3+ years of experience in an administrative or accounting support role.
  • Strong interpersonal skills with a positive, service-oriented attitude.
  • Ability to adapt to changing priorities and remain flexible in a fast-paced work environment.
  • Experience in process improvement or administrative efficiency initiatives.
