CENTRAL SERVICES FEDERAL PROGRAMS DATA SUPPORT CLERK
Major Functions:
Perform varied and complex administrative duties and data entry requiring considerable knowledge of the organization’s and programs’ pertaining to the Office of Federal Programs. Assist the Federal Programs Director, Federal Programs Financial Supervisor, and the Federal Programs Equitable Services Coordinator by performing data support responsibilities as deemed necessary by the Federal Programs Director.
Duties and Responsibilities:
- Perform routine clerical duties such as typing, organizing, emailing, filing, logging, photocopying, faxing, answering incoming calls, and making the appropriate outgoing calls, sorting, and handling incoming and outgoing mail, etc.
- Research, create, input, format, organize and edit relevant data as needed or requested and prepare in a usable format.
- Receives orders, checks shipments for accuracy, signs and dates packing slips, contacts vendors if any discrepancies are found.
- Organize purchased supplies and assist in the delivery of the supplies.
- Process supplies and travel requisitions.
- Advise stakeholders on the supplies and travel requisition process.
- Complete Federal Programs reimbursement packets as assigned.
- Disperses traveling information to travelers.
- Help to organize, label and file Black Box documentation.
- Assist with Black Box training and monitoring.
- Assist in labeling and barcoding fixed assets purchased with federal funds.
- Assists with conducting periodic audits of program documentation for compliance with rules, regulations, policies, and procedures (local, state, and federal).
- Assist with providing research support in core policy and program areas including reviewing literature, investigating issues, and conducting surveys, interviews, and site visits as necessary.
- Assist others with monitoring and/or completion of the requisition process when deemed necessary.
- Complete Costpool travel and supply requisitions as assigned.
- Assist with and/or facilitate the Parent and Family Engagement MDE requirements.
- Assist with consultants’ monitoring.
- Assist with monitoring school-level federally funded part-time employees time and effort.
- Complete and process requisitions for other entities as directed by Federal Programs Director.
- Stay abreast of current issues in grants management.
- Schedule meetings and appointments and maintain calendar of events for the Federal Programs Department and supervisor(s).
- Keep up to date on names, titles, functions, locations, and status changes of personnel throughout the district.
- Utilizes school system knowledge to direct inquiries to appropriate departments or state agencies.
- Provide information as needed such as, school calendar, special meetings, and countywide events.
- Be consistently responsible and professional.
- Maintains positive relationships with district office staff, school personnel, visitors, and vendors.
- Attend professional development opportunities as needed and/or requested.
- Independently answer routine questions and correspondence.
- Be neat, clean, and professionally dressed.
- Attend work regularly.
- Perform such other tasks and assume such other responsibilities as may be assigned by the Federal Programs Director, supervisor, and/or superintendent.

- Maintain confidentiality and privacy of all DeSoto County Schools’ records.
Minimum Requirements:
. At least 18 hours of college coursework, plus two (2) years of clerical office experience and working with the public. Highly proficient language abilities, organizational skills, and ability to communicate clearly and efficiently in written and verbal forms. Must be able to have extreme patience in working a high-volume phone system. Pass the district clerical test if deemed necessary.
