POSITION SUMMARY
The Outreach Coordinator is responsible for providing comprehensive support to ensure the efficient operation of the Outreach department. This role involves various administrative and clerical tasks, including data entry, copying and distributing forms, processing referrals, developing spreadsheets, supporting events, and assisting managers and director as needed. DUTIES and
RESPONSIBILITIES
Collects, prepares, and distributes paperwork for completion by staff or clients. Completes data entry tasks to maintain up-to-date and accurate program information. Processes and distributes referrals. Collects, sorts, and distributes incoming and outgoing mail and packages to ensure timely delivery within the office, occasionally providing courier services between locations. Courteously and professionally provides assistance and information to patients/clients, addressing their inquiries and ensuring they receive the necessary information. Supports the planning and execution of Outreach events and playgroups. Plans, organizes, and delivers food and beverages for meetings and events (when applicable), being sure to meet all dietary requirements and that everything is picked up afterwards. Maintains an inventory of supplies for each office (Grants Pass, Cave Junction, and Medford) and places orders with the approval of managers or the director. Handles the copying, collating, and distribution of forms for all locations. Provides administrative support to other staff members, as assigned by managers or the director. Scans information and completes paperwork into the patient’s Electronic Health Record (EHR) on time, ensuring accuracy. Researches and corrects missing or incorrectly filed documents. Provides clerical support for projects as requested. Other duties as assigned. QUALIFICATIONS, EDUCATION, and
EXPERIENCE
High school diploma or equivalent. Six (6) months’ work experience required. Prior experience with Electronic Health Records (EHRs) preferred.
REQUIRED
KNOWLEDGE, SKILLS, and
ABILITIES
Demonstrated experience with Microsoft Office software, including Outlook, Word, and Excel. Strong customer relations skills. Strong organizational skills with the ability to prioritize and manage time independently.
PHYSICAL DEMANDS
Lifting, bending, reaching, pushing, carrying, sitting, and driving an automobile. Vision and hearing corrected to within normal range. Physical mobility with clinics and offices.
HAZARDOUS CONDITIONS
Minimal exposure to airborne pathogens. Contact with clients and occasional rude and/or angry encounters.
WORKING CONDITIONS
