CHRISTIAN PURPOSE AND EXPECTATIONS

All employees proclaim the Gospel of Jesus Christ through their employment, and thereby further BGEA’s religious mission. Department Detail – The Executive department provides organizational leadership to all areas of BGTC, giving strategic oversight, direction and vision to the ministry of The Cove. The executive department is also responsible for ensuring that projects and ministry initiatives align with the mission and vision of BGTC and the BGEA. Job Summary – The Operations Assistant works as an administrative support position responsible for ordering supplies, handling mail distribution and shipping and coordinating maintenance requests for office equipment. The assistant will also serve as backup to the Operations department as needs arise for The Cove Executive Office. In addition, this position is responsible for calendar changes, calendar distribution for The Cove as well as BGEA, and managing The Cove calendar events. Ministry Requirements Maintains a personal, active relationship with Jesus Christ and is a consistent witness for Jesus Christ

Participates in daily BGEA staff devotions including Bible reading, and leading group prayer as schedule permits
Demonstrates behavior aligned with BGEA’s Mission Statement, Statement of Faith, Hallmarks, policies, and expectations
Effectively represents Jesus Christ to those within both personal and professional spheres of influence Essential Duties and Responsibilities Post calendar requests from Property Use Authorization and Event Request forms on Cove Event calendars
Provide, as accurately as possible, real-time participant numbers for the Guest Group Events and Program Events departments by maintaining the Cove Event calendars
Send out calendar announcements to appropriate email lists
Maintain the Cove Cabin Calendar to show occupancies
Keep daily track of Program and Guest Group Event reservations, including Personal Spiritual Retreats and Inn suites reserved or sold in the Property Management software
Complete and maintain annual demographic reports, as well as serve as a backup for Operations and Marketing Coordinator to complete and electronically distribute various departmental reports
Establish and maintain a professional filing system for correspondence, projects, key records, and business machines records
Maintain inventory and order office supplies as needed and requested, including FedEx/UPS, kitchen, and paper product supplies
Handle daily distribution of Cove mail and prepare FedEx package for evening pickup
Obtain monthly postage reports for Neopost and XPS and manage shipping balances for The Cove
Submit monthly reimbursement requests for the postage machine
Coordinate regular and emergency maintenance of copiers, fax machines, folders, shredders, laminators and postage machines. Make service calls for those that are serviced by vendor
Maintain monthly departmental records of copier usage
Maintain monthly cell phone records and payments
Take care of inspections, check requests and payment of monthly Cove vehicle registrations, including maintenance requests and requisitions for employees
Send listing of Cove events to BGEA headquarters on a weekly basis
Keep accurate records of key distributions for new and leaving employees; obtain acquisition forms with management, director and security approval
Distribute program guides and rack cards for seminar speakers and guest requests and maintain on Program Guide/Rack Card Distribution report; generate Promotion Response Report quarterly
Update and order Cove business cards through BGEA United Printing storefront and BGEA purchasing
Handle mailings for Reservations, IT and Finance departments
Set up and remove mailboxes for new and departing employees in the Mountain Laurel Administrative Center Marginal Duties and Responsibilities Special assignments as directed by the Executive Director and Operations and Marketing Coordinator
Provide occasional assistance to various departments Job Specifications

SKILLS AND KNOWLEDGE

High school graduate, or equivalent degree
Ability to effectively perform multiple tasks, prioritize work and solve problems
Excellent communication, organizational, follow up, and relationship development skills
Ability to work closely and productively with guests, staff, management, and vendors
Proficiency with Microsoft Office products (Word, Excel Outlook, etc.)
Ability to be flexible and work productively under pressure to meet deadlines
