Full Job Description TITLE:

Administrative Assistant (Clerk IV) Arts Education

FLSA STATUS

Non-Exempt

QUALIFICATIONS

High School graduate and one year of training beyond high school or three years clerical experience in an office environment. Excellent verbal and communication skills, ability to perform multiple tasks, ability to prepare, review and edit correspondence, organizational skills and ability to design and maintain reports, forms and checklists. Minimum typing skill of 45 wpm. Working knowledge of bookkeeping practices. Working knowledge of Microsoft Office applications (specifically Word and EXCEL) and Google applications. Exemplary interpersonal skills and communication skills. Must be able to communicate orally and in writing with parents, staff, and community leaders. Must obtain and maintain a Commercial Driver’s License (CDL) and drive a bus when called upon to do so.

JOB GOAL

To maintain the effectiveness and efficiency of the department by providing clerical and administrative support and drive a bus when called upon to do so.

DUTIES AND RESPONSIBILITIES

Provides support to arts education teachers by preparing and disseminating materials for arts education programs. Prepares correspondence, reviews and edits correspondence, checks for correct grammar, proper format, and necessary attachments. Establishes and maintains files for records and correspondence in addition to sorting and distributing incoming mail. Prepares agenda for office and departmental meetings. Handles mechanics of planning meetings and workshops (refreshments, handouts, etc.), and follows through on matters requiring correspondence. Orders and processes music orders for all honor groups, ten per year. Maintains and processes all contracts Maintains and processes all cleaning of band marching uniforms. Processes all the requests for marching band techs each year. Processes miscellaneous payroll for bus drivers for all Arts Education trips, including marching band travel. Processes all paperwork for the arts education trips. Maintains complete and accurate financial data recording. Maintains and processes all arts education supplements and funding. Facilitates the art change-out for Central Services and ERC, four times per year. Serves as the bookkeeper for the Arts Department and completes all associated tasks. Orders and processes all program needs for Arts Education events. Helps maintain Arts Education web pages and other internet sites as needed. Obtains and maintains CDL bus license. Completes the pre-trip and post-trip inspection. Drives a bus when called upon to do so while maintaining proficiency in driving skills. Maintains bus route schedule. Maintains discipline and reports undisciplined students to school administration. Discharges students only at authorized stops and transport only authorized students. Complies with local and state traffic regulations and observes all mandatory safety regulations. Reports delays and accidents. Cleans the interior of the bus. Serves as team player and role model for other employees in the organization; demonstrates a commitment to continuous quality improvement; supports and exhibits organizational core values of caring, respect, integrity, responsibility, high expectations, being customer driven, and valuing fairness. Performs other duties and accepts responsibilities as assigned.

PHYSICAL REQUIREMENTS

: Must have finger dexterity and be able to physically perform the basic life operational functions of kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing, and repetitive motion. Must possess auditory acuity at a level to hear telephone conversations, customer questions and concerns, and supervisor vocalized instructions. Must have visual acuity to read and analyze computer screens, documents and correspondence. Must be able to express and exchange ideas by means of spoken word.

SPECIAL REQUIREMENTS

Background check with local and state law enforcement agencies required. Must possess a valid North Carolina driver’s license. Must be able to obtain a Commercial Driver’s License (CDL) when requested, for purposes of driving a school bus. This position requires before, during, after hours, and some weekend work. REV 05/25
