POSITION SUMMARY
Coordinates and manages the administrative support duties for Management & Administration. Responsibilities include coordinating office services, maintaining business records, preparing reports and correspondence, and arranging travel and meetings for the CEO and Board of Directors.

Level of Performance:
Employee in this position is expected to respond courteously and quickly to both internal and external customer service inquiries. The position requires accuracy in filing and maintaining documents, as well as tracking contracts. Dependability is essential to performing the duties of the job. Employee is expected to continuously practice quality and performance improvement, maintain confidentiality, and exhibit tact and diplomacy Establish a filing system supported by electronic tracking and management. Maintain executive and corporate documents and retrieve as needed. Identify documents to be sent to storage and maintain a record of items. Use mandated time frames for appropriate disposal. Sort and distribute copies of incoming correspondence. Prepares copies of outgoing correspondence as directed. Clear the CEO’s and Director of Administration’s outgoing mailboxes daily, copying and distributing as needed. Compiles information and prepares reports, correspondence, etc., using word processing, spreadsheet, database, etc. Maintain executed contract and grant tracking system in both paper and electronic means. Notify the Director of Administration of upcoming reports. Track leases once signed. Set up equipment for Senior Leadership meetings. Prepare copies of meeting documents. May prepare minutes following the meeting. Prepare conference and travel arrangements for the CEO as directed. Prepare expense reports upon return. Create and maintain a records retention process. Arrange, organize, and support meetings of the Board of Directors and its committees. Prepare meeting notices, agendas, and related materials. Produce minutes of meetings. Prepare documents and secure signatures of Board Officers as needed. Track attendance. Requisition supplies as needed. Prepare maintenance requests for the Executive Department. Perform related duties as assigned by the supervisor.

SKILLS & ABILITIES
Education:
Associate’s Degree (two-year college or technical school) in Office Management, Office Technology, or related field.
Experience:
Two to four years related experience in an office environment or equivalent combination of education and experience. Employees must be familiar with a variety of office concepts, practices, and procedures. Computer Skills To perform this job successfully, an individual should be familiar with the Internet, Excel, and word processing software. Certificates & Licenses It is the employee’s responsibility to obtain and maintain all certifications, licenses, health cards, and other relevant documents at all times. A valid driver’s license and own transportation are needed. Other Requirements Working knowledge of office equipment and practices, including telephone techniques, is an essential skill. The ability to type at least 50 wpm is required. Employee must have good organizational skills.
