Job Description

The Secretary plays a crucial role in maintaining the organization’s records, facilitating communication among board members, staff, and volunteers, and ensuring compliance with legal and organizational requirements. This position supports the smooth operation of both the mentoring and sports programs by managing documentation, scheduling meetings, and overseeing official correspondence.

  • Key Responsibilities
  • Meeting Coordination:
  • Schedule board and committee meetings in accordance with the organization’s bylaws.
  • Prepare and distribute meeting agendas and supporting materials in advance.
  • Record accurate minutes of meetings, capturing decisions, action items, and attendance.
  • Distribute approved minutes to relevant parties promptly
  • Record Keeping:
  • Maintain and organize official documents, including bylaws, articles of incorporation, policies, and IRS correspondence.
  • Ensure records are securely stored and accessible to authorized personnel.
  • Monitor and update membership rosters and volunteer records
  • Compliance and Legal Duties:
  • Track and ensure timely submission of annual filings and compliance documents to state and federal agencies.
  • Stay informed about changes in nonprofit regulations that may affect the organization
  • Communication:
  • Serve as a liaison between the board, staff, volunteers, and external stakeholders.
  • Manage official correspondence, including meeting notices, announcements, and acknowledgments.
  • Assist in the preparation and dissemination of newsletters and promotional materials

  • Coordinate administrative aspects of mentoring and sports programs, such as scheduling events and maintaining participant records.

  • Experience in administrative or secretarial roles, preferably within a nonprofit setting
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite and familiarity with record-keeping software
  • Understanding of nonprofit governance and compliance requirements is a plus
