STATEMENT OF JOB

An employee in this class performs general office support duties in a school, department or unit where duties and appropriate actions are clearly defined. Work includes filing, answering the telephone, relaying information, routine word processing or data entry work, customer service, or records maintenance work. Work also may include the dispatching of personnel for services to the school or public. The employee is expected to have a general understanding of the work unit and its services to respond to inquiries; non-routine questions or situations are referred to others. Specific oral and/or written instructions are available to apply to most work situations; however, independent decisions are made within parameters. Work may include the use of a word processor or occasionally a typewriter. Work is performed under the supervision of a school, department or unit supervisor and is evaluated through observation, conferences, and the quality and effectiveness of work completed.

ESSENTIAL JOB FUNCTIONS

Answers telephone; directs calls or visitors and gives information based on the type of request; may dispatch personnel for services to the school area or public. Inputs data and information into computer database or system. Receives and delivers mail. Reviews and verifies records and reports to ensure that information is provided and correct. Compiles information using standardized logs or forms. Word processes letters, reports and other materials; processes rough drafts from verbal, handwritten or other marked copy. Proofs reports and materials for completeness and accuracy. Enters correct information onto forms or form letters as necessary to fit varying situations. Operates copy and Fax machine. Places materials and records in alphabetical or numerical order for proper filing into the appropriate record keeping system. Performs related duties as required.

MINIMUM TRAINING AND EXPERIENCE

Working knowledge of office practices and procedures. Working knowledge of grammar, spelling, and vocabulary. Ability to communicate effectively in person and by telephone. Ability to be tactful and courteous. Ability to follow oral and written instructions and procedures. Ability to input data or word process with accuracy at the speed required by the particular program or position utilizing the services of this role. Ability to learn and apply filing and coding systems and to arrange and place records, reports, and files into a proper sequence. Ability to compile routine information. Ability to establish and maintain effective working relationships with the general public and other employees. Graduation from high school and one year of clerical experience involving public contact; or an equivalent combination of education and experience.

PHYSICAL REQUIREMENTS

Must be able to physically perform the basic life operational functions of reaching, walking, grasping, talking, hearing, and repetitive motions. Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Must possess the visual acuity to prepare figures and data, operate a computer, and proof work.
