Position Overview:
The Administrative / Assistant will serve as the frontline for inbound and outbound communication, scheduling, document management, and basic marketing outreach. This person will be instrumental in keeping our office operations organized, our customers informed, and our team supported.
Key Responsibilities:
Inbound Calls:
Answer incoming calls professionally and courteously, then record & assign leads Address general customer inquiries, gather details, and route calls or take detailed messages for the appropriate team member Provide basic information about our services
Outbound Calls:
Cold Call leads assigned to you to set roofing inspection appointments Confirm material delivery dates, and roof replacement / repair schedules with homeowners Conduct follow-up customer satisfaction calls after projects are completed. Log communication notes in our CRM or lead management system
Document Management:
Send documents to customers for signatures via DocuSign (when needed) Track document completion and follow up as needed
Permit Applications:
Submit permit applications as required by job Track the status of permit applications and follow up with municipalities Keep job files updated with permit details
Calendar & Scheduling:
Add and manage calendar events to ensure no overlaps or missed appointments Send calendar invites and confirmations to customers and internal team members (when needed)
Social Media Engagement:
Post company updates, promotions, and job photos in local Facebook community groups to promote services
Data & Reporting:
Pull weekly KPI reports from SalesRabbit (or other lead tracking software) — including number of doors knocked, conversations, inspections set, and sales closed per sales rep Gather simple financial and sales data for company meetings Assist in preparing reports or summaries as needed
Ideal Candidate:
Friendly, professional phone manner Organized and detail-oriented Comfortable working in a fast-paced, multitasking environment Basic computer skills (Google Calendar, Google Sheets, CRM software, DocuSign, Facebook Groups) Previous experience in a customer service, administrative, or office assistant role preferred, but not required
