JOB SUMMARY
We are seeking an Administrative Assistant to support 6 faculty with administrative tasks.
JOB DUTIES AND RESPONSIBILITIES
Faculty administrative tasks, CV’s/Manuscripts, faculty correspondence.
Coordinate complex faculty meetings, maintain complex calendars, CME conferences, Faculty speaking engagements.
Coordinate domestic and international travel (air, hotel, car rental) for faculty and distinguished guests, completing all expense reports, honorariums, and itineraries. Plan/coordinate program events/conferences.
Schedule complex meetings. Prepare memorandums/letters from transcription and prepare independent correspondence for faculty.
Financial concur reconciliation, honorariums, reimbursements.
Manuscripts for publications with updates & signatures
QGenda / run reports from Duke systems. Concur / financials.
Order business cards.
Office coverage / phones / FedEx / distribution of faxes & mail. Medical record scanning in Solarity.
JOB ELIGIBILITY REQUIREMENTS
High school education or equivalent.
Two years of administrative support experience of increasing variety and/or complexity.
Executive level calendar experience, travel arrangements, good clerical skills are needed.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
