Job Description
Position Overview:
The Administrative Assistant acts as a liaison between field operations and office personnel. Is proficient in all aspects of data entry, paperwork tracking and reporting, & well versed in using spreadsheets. Provide administrative and clerical support to ensure the efficient operation of the office.
Essential Functions:
Ensure filing systems are maintained and current Answer telephones, direct calls and take messages Compile, copy, sort, and file records of office activities, business transactions, and other activities Complete and mail bills, contracts, policies, invoices, etc. Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers Handle inquiries and incoming work requests Type documents and correspondence Monitor and order office supplies Project management Keep office area neat and tidy Data entry such as create, update and manage spreadsheets Works with Foreman to meet customers’ needs 811 locate ticket entry and updates Work log and crew work schedule entry Key Competencies Organizational and planning Time management skills and the ability to prioritize work Attention to detail and accuracy Problem-solving Adaptability Customer service orientation Communication skills – verbal and written

Education Required:

Ability to manage multiple priorities and to plan and organize work in observance of deadlines. Strong communication (both written and verbal), editing and grammatical skills.
Superior organization skills:
able to multi-task and prioritize responsibilities. Ability to work independently and possess strong decision-making skills. Must be self-motivated, able to prioritize multiple tasks, work under strict deadlines and exhibit a team player attitude. Project management experience Expert knowledge of Microsoft Office including Word, Excel, PowerPoint and Outlook.
