Job Description

Administrative Assistant 3.9 3.9 out of 5 stars 833 Montlieu Ave, High Point, NC 27262 The primary purpose of this position is to support programs associated with ensuring students with disabilities receive appropriate accommodations and related supports through the Office of Accessibility Resources and Services (OARS) and other offices within the Office of Academic Services. This position requires an ability to multi-task, implement exemplary customer service through face-to-face contact, telephone calls and/or via email. The OARS Administrative Assistant organizes and provides administrative support for operations of the Office of Accessibility Resources and Services and provides clear communication to internal and external parties as needed. This position is a full-time, 12-month position.

QUALIFICATIONS

Education Bachelor’s degree required. Experience 3 to 5 years of previous experience in a professional office setting; working at a college and/or university is preferred.

Knowledge, Skills, Ability:

Excellent written and oral communications skills. Significant computer knowledge (Microsoft Office, Excel, Outlook) is required. Ability to learn the accommodation software utilized by OARS. Proficiency with Microsoft Suite programs. Strong interpersonal and organizational skills. Understanding of confidentiality and ethical standards within the OARS office as required by FERPA. Basic familiarity with disability-related regulations, including the Americans with Disabilities Act (ADA). Ability to maintain composure during moments of high stress.

ESSENTIAL FUNCTIONS

Provides office coverage and reception to students and guests at the OARS office. Provides assistance to students and prospective families requesting OARS appointments, sending appointment reminders, and follow up for incomplete files. Assists with casework of student registrations and maintain electronic record of correspondence with all prospective students seeking services in the accommodation database. Provides administrative assistance to the OARS Senior Director as it pertains to purchasing, maintaining office supplies, work orders, processing mail, maintaining the reception area and other duties as assigned. Drafts letters, reports, charts, graphs, manuscripts, forms, etc. from rough draft to final form utilizing word processing software on behalf of OARS and the OARS Senior Director. Maintains electronic database system as well as creates new filing systems when needed under FERPA and confidentiality mandates. Records minutes of staff planning meetings. Assists in planning events hosted by the OARS Office. Maintains confidentiality at all times with students (and families) who visit the OARS Office. Provides phone assistance, taking messages, returning calls, and OARS email within 24 business hours. Coordinates and works with OARS Student Workers as needed. Other duties as assigned and appropriate to the position and service to the University with the ability to operate independently to complete all assigned tasks.

ACCOUNTABILITY

Reports to and is supervised by the Senior Director of the Office of Accessibility Resources and Services.
