Full Job Description Position Overview:

The Advancement Team & Front Desk Administrator plays a vital dual role at the school. Reporting jointly to the Director of Admissions & Marketing and the Director of Philanthropy & Community Engagement, this individual supports the work of the Advancement Team (marketing, admissions, and fundraising) and shares responsibility for front desk reception with the Leadership Team Administrator. This is a dynamic, people-facing role that requires exceptional organization, strong communication, and the ability to manage multiple priorities with professionalism and warmth.

Advancement Team Responsibilities:

Assist in maintaining and updating the school’s website (Squarespace), including regular content refreshes and the creation of new pages as needed. Organize and manage the school’s digital photo collection and archives. Generate reports from the donor management system (Little Green Light) as requested. Support annual fundraising campaigns and development events, including: Ordering catering and supplies. Assisting with venue setup and breakdown. Coordinating with volunteers. Play a key logistical and administrative role in supporting the annual gala (Sneaker Soiree). Coordinate the mailing of solicitation and stewardship materials, including managing timelines and print logistics.. Reviews school communication and publications to ensure that the contents are clear and correct. Compile data, images, and stories for use in marketing and development materials. Support additional projects and tasks as assigned by members of the Advancement Team.

Front Desk Responsibilities:

Serve as a welcoming presence for all visitors and manage incoming phone calls using a multi-line phone system, directing inquiries to the appropriate personnel. Maintain a clean, organized, and professional front desk area. Act as the point person for aftercare from 3:30-5:30 PM daily, supporting communication between families and aftercare staff.

Key Qualifications & Skills:

Excellent verbal and written communication skills and a professional, warm demeanor. Strong interpersonal skills with the ability to work effectively with prospective and current families, community members, vendors, and volunteers. Highly organized with strong planning and project management abilities. Demonstrated problem-solving skills and the ability to think on your feet. Customer-service oriented with a proactive and positive attitude. Comfortable navigating and learning various software platforms. Proficiency in Google Workspace, Microsoft Office, and Apple operating systems. Familiarity with Squarespace, Little Green Light, FACTS, and email marketing tools is a plus. Ability to manage multiple priorities and deadlines with grace and accuracy.
