Job Description

Operations Administrator 4.7 4.7 out of 5 stars 225 South Elm Street, Greensboro, NC 27401 Schiffman’s is seeking a highly organized and detail-oriented Operations Administrator to join our team. In this pivotal role, you will support the daily operations of the company by coordinating administrative processes and maintaining internal communication. Our ideal candidate is a proactive problem-solver with strong verbal and written skills and the ability to manage multiple priorities in a fast-paced environment. This position reports to our executive team and will work collaboratively with other members across the organization to support operational efforts. Key Responsibilities Use Otter.ai to record and summarize all meetings, create email recaps accordingly and assign follow-up tasks. Maintain daily Trello boards – prioritizing emails, tasks and to-dos. Coordinate with department heads to prepare reports, presentations, and documents for meetings and prep our COO accordingly. Update internal Sharepoint site weekly. Assist in project management, specifically store construction, ensuring deadlines and deliverables are met. Assist in planning company events and board meetings as needed. Handle expense reporting and approving invoices. Qualifications Bachelor’s degree preferred or equivalent experience. 5+ years of experience in an administrative role. Excellent organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint). Ability to multitask and prioritize effectively in a fast-paced environment. High level of discretion and professionalism when handling confidential information. Strong problem-solving and decision-making skills. Ability to complete a project with little direction. Flexibility to accommodate executive schedules. Preferred Qualifications Experience with luxury jewelry or timepieces. Expert knowledge in Powerpoint or Canva. Experience using a task management system like Trello, Airtable, Asana, etc. Experience in creating workflows or processes and corresponding training.
