Administrative Operations Manager SodStar Transportation 1486 Easy Street, Dunn, NC 28334 Job Overview SodStar (operated by Buy Sod), a multi-state agribusiness company with sod farms in the Carolinas, Tennessee Georgia and Florida, is currently seeking to hire a motivated Full Time Administrative Operations Manager for our Dunn, NC location.

Administrative Operations Manager Responsibilities:

Create an environment of professionalism, warmth, and welcome. Maintain the office in a clean and organized manner. Assist in the participation of company safety program administration. Assist employees in post-accident/incident protocol. Manage policy update acknowledgement collection, annual, and training documentation as directed and ensure completion and return by deadline. Serve as liaison between Shared Services and the Production/Transportation, partnering with each department (HR, IT, Accounting, Logistics & Safety) to help achieve objectives/goals. Connect employees with the appropriate shared services contact for questions/issues that cannot be resolved locally.

Production Specific duties:

Manage farm uniform program and ensure invoice reflects the correct usage. Orders and assigns PPE to farm and sawmill personnel as position requires. Assist Farm Management/Safety in agriculture program adherence such as entering information for certifications, applications, licenses. Manage all Farm credit cards, spending approvals, credit card purchases, and scan receipts to shared services office. Track expenses for farm budget purposes and work with Farm Manager to resolve any disparities efficiently. Manage, administrate, and coordinate bulk purchases. Make bank deposits and check PO Boxes as needed. Manage shipping and receiving for a multi-state operation and ensure mail is distributed to appropriate locations timely and efficiently. Ensure all invoices, packing slips, monthly vendor statements and PO’s are accurate and scanned into Sod Central. Enter sod orders and process payments for walk-in customers as needed. Coordinate onsite sod pickup orders including time, location, loading and any additional specific information. Create/Issue purchase orders (POs) for office and farm, and sawmill supplies. Manage and administrate in-house sawmill and pallet production. Enter approved invoices and place them in appropriate folders daily (not to exceed 24 hours from time of approval). Assist Farm Manager with recruitment and candidate screening, and schedule interviews. Manage with new hire application process and ensure all items are completed properly before sending. Manage farm orientation process (including safety) of new employees, coordinate company property and technology needs. Act as designated authorized representative for in-person I-9 verification. Gather and transmit corrective action or procedural signatures, maintaining documentation in on-site personnel files. Assist Farm Management with farm and sawmill payroll, resolve missing punches, make time adjustments as needed, and prepare for approval. Communicate movement to Payroll for correct location coding each Monday. Assist employees with general inquiries and/or direct them to the appropriate representative. Backup Responsibilities Assist Farm Management/Safety in agriculture program adherence, such as entering information for certifications, applications, licenses. Set up new driver orientation paperwork as needed. Monitor in-progress loads using the Motive and Descartes systems as needed. Track on-time arrivals and departures and follow up with drivers on any observed delays as needed. H2A Specific duties : Coordinate H2A onboarding process and ensure all workers have bank accounts, Social Security cards, US Driver’s license renewals, etc., for Sawmill H2As. Process weekly timecard acknowledgement signoffs/return to HR for audit purposes for Sawmill H2As. Track Sawmill H2A labor hours to ensure the farm stays on budget/notify Farm Manager urgently of non-compliance. Assist with H2A housing, setup inspections, purchase products for compliance, such as mattress covers, smoke detectors, housing cleaning supplies, as directed by CDC/HR. etc. as requested. Act as backup for Farm and Delivery H2A duties listed above as needed.

Administrative Operations Manager Position Requirements:

Must possess a high school diploma or GED equivalent. Advanced education in administrative skills or degree is desired. 3+ years’ experience managing similar processes listed under position responsibilities (above). 3+ years’ experience managing at least 3 people. Must demonstrate ability to be a team player and build positive working relationships with others. Must possess Notary certificate or ability to obtain within 3 months of hire. Demonstrated ability to engage customers with professionalism, patience, and a people-first attitude. Values relationships and results. Ability to be physically/consistently present for critical onsite collaboration. Ability to discern what issues need to be brought to upper management.

Basic computer skills:
MS Office:

Outlook, Excel, Word, etc. Must be able to handle multiple tasks and perform well under pressure of deadlines. Must be highly motivated and efficient with the ability to work independently. Experience with MS Office suite and the ability to learn company software programs is required.
