OVERVIEW & PURPOSE
Performs a variety of administrative support, clerical, secretarial, records processing, data entry, or Program Assistant duties in an office, requiring an understanding of the Department’s Services. Performs a variety of journey level administrative, clerical, records processing, data entry, and Program Assistant support duties. Work generally requires that employees handle day-to-day activities such as information and records processing. Clerical and administrative support duties are stronger than the Administrative Support Assistant in terms of variety, complexity, and independence. Work at this level requires more self-initiative and the ability to resolve most issues by applying standard procedures. Unusual situations may be referred to others for guidance. General knowledge is required of the Department and related County functions. Guides may include a variety of manuals and instructions and on-line resources; skill is required for operating advanced computer programs for billings and receivables, law enforcement data, and narrative information. Some judgment is required in applying the appropriate guides for handling work; deviations from established procedures are referred to others. Work is performed under the supervision of the Department Director or other staff, and work is evaluated through observation and the quality and effectiveness of work completed.
ESSENTIAL FUNCTIONS
Serves as support for programs, accounts receivables/payables, data entry, or other administrative support for functions and services; provides information on a variety of rules, Programs or County Services. Receives and greets visitors/customers; provides services concerning visitors’ needs; may handle requests independently. Secures information via telephone or personal contact; selects appropriate materials or research records to answer questions; handles confidential items including customer data, law enforcement, human resources, or financial accounts. Processes fingerprint cards, arrest cards, and photographs to the SBI; fills in on the dispatch desk. Makes appointments and coordinates arrangements for meetings; may coordinate compilation of materials, agenda items, and data for meetings; may take minutes of a board or commission meeting; may sign items such as letters or reports for supervisor. Handles billings or receivables and other sources of revenue from Departments; makes deposits and reconciles financial records; processes timecards for employees. Inputs data into computer systems; generates records, reports, bills and/or other requirements from the data; verifies and edits data. Assists in conduct of elections in compliance with NC Election Laws; maintains current voter registration; assists Local, State, and Federal candidates and the general public with Election Laws and other information; tests voter equipment for accuracy. Operates a computer to generate correspondence, memoranda, electronic mail, reports; reviews work for compliance with instructions, spelling, punctuation and grammar; proofreads final copies. Types a variety of materials including charts, spreadsheets, and statistical data from notes or instructions; proofreads final copies for spelling, punctuation, grammar, and format. Reviews and verifies records and reports for correct information; processes documents based on verification; files and retrieves materials based on limited information and performs follow-up activities; may assist in audits of data.
ADDITIONAL FUNCTIONS
May process purchase requests or personnel/payroll actions for the Department or Unit. May provide back-up assistance to other roles in the Department. Performs related duties as required.

General and working knowledge of office practices and procedures. General and working knowledge and ability to use correct numbers, arithmetic, bookkeeping, grammar, vocabulary, and spelling. Ability to communicate effectively in person and by telephone. Ability to gather and give basic information and instructions on departmental programs. Ability to multi-task and be adept at performing duties in a fast-paced environment. Ability to operate office equipment such as computers and databases, typewriter, fax, scanner, copier. Ability to use judgment in organizing and establishing priorities of the work assigned. Ability to record financial transactions and balance figures; ability to meet deadlines with payrolls, receivables, payables and related actions with strict timelines. Ability to maintain effective working relationships with supervisors, employees, and the public.

“: Graduation from High School and one (1) year of experience as an Office Assistant, Secretary, or related administrative support position, or an equivalent combination of education and experience. Must be at least 18 years of age and possess a North Carolina Driver’s License. This position is designated as an authorized Motor Vehicle Operator for Iredell County and requires adherence to the Iredell County Vehicle Operations Policy.
