J&G Machinery – a Division of Würth Baer Supply Company is searching for an Administrative Assistant for our location in Sanford, NC . Position Overview This role is ideal for someone with a few years of administrative or office support experience who enjoys staying organized, keeping operations flowing, and wearing many hats in a fast-paced environment. Prior exposure to accounting support, customer service, or logistics is helpful, but not required. Primary Responsibilities Answer phone and route calls Open daily mail, stamp received and distribute Greet visitors Order office supplies and shop/kitchen supplies; maintain stock and organization Make coffee, clean coffee pot daily, wipe down counters daily Maintain receivables and payables files; create monthly binder for invoices by number Purge/archive files as needed Oversee Shred-it recycling process; open shredding to employees every Friday Assist with accounting tasks including: Matching checks with sales orders/invoices; copying and attaching Mailing daily invoices and responding to requests for copies PDF invoices from NetSuite and attach to customer accounts in ACT! Mailing checks Printing and mailing monthly statements Processing credit card payments on sales orders/invoices Entering cash receipts Verifying vendor wire transfer instructions verbally Compiling audit support documents upon request Receive, audit, and approve technician paperwork and expenses; create related sales orders Prepare and manage shipping documents and processes: Prepare Bills of Lading (BOLs), track shipments, and send post-shipment letters Resolve disputes with carriers and file/manage damage claims Upload and manage UPS tracking info; provide tracking to callers as needed Schedule DHL pickups to Mexico Print BOLs and packing lists for intercompany shipments Enter new customers in ACT! and NetSuite from internal forms and web orders Handle outgoing mail for sales staff weekly Print invoices and register machines for warranty with SCM, Cantek, and SawStop Required Experience & Skills 2+ years of experience in an administrative, office support, or accounting assistant role Strong organizational skills and attention to detail Basic understanding of accounting processes and customer service Comfort working with software tools such as NetSuite and ACT!
