Job Description

General Statement of Job:

The job of the School Counseling Secretary is for the purpose of providing secretarial support to the School Counseling Department. This position serves as a registrar and is responsible for maintaining student records for the high school. The School Counseling Secretary will report to the Counselors and the Principal of the high school.

Specific Duties and Responsibilities

  • Assist the counselors (answering phones, scheduling students, etc) for the purpose of supporting them so that the counselors might complete their work activitieswith minimal interruptions
  • Be courteous in all dealing with parents, students and faculty
  • Assist parent and students with enrollment and withdrawal process and procedures
  • Escort new students around school when they are enrolled
  • Input data in computer for new students including immunization records
  • Perform general office duties including answering the phones, greeting the public, typing, filing, sorting and handling incoming and outgoing mail, record requests from other schools, etc
  • Provide administrative support to the counselors, including scheduling meetings, preparing materials and drafting correspondence
  • Appropriately maintain and secure confidential records and inquiries; make surethat records are current and in order
  • Monitor scholarship applications and assist students in meeting application deadlines
  • Maintain a log of scholarships given to Seniors
  • Help prepare students to begin taking SAT’s and ACT’s for entrance into college
  • Help coordinate college visits and college recruiters to the high school
  • Responsible for securing substitutes for teachers by calling the sub or thru callplus (automated systems
  • Assist with evening activities presented by the counseling department
  • Maintain the counseling bulletin board
  • update resources
  • Print and maintain log of transcripts for former students
  • Prepare files to be sent to DSI for scanning

  • Collect homework for students who are out sick or suspendedMinimum Training and Experience
  • High school diploma required, Associates degree preferred
  • General office experience required
  • Computer skills: General knowledge of computer usage and the ability to use standard school software, e-mail, spreadsheets and word processing software; ability to type accurately and proficientlyMinimum Qualifications or Standards Required to Perform Essential Job Functions
