Administrative Assistant Oasis Shriners 604 Doug Mayes Place, Charlotte, NC 28262 Job Overview We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will provide essential support to ensure the smooth operation of our office. The ideal candidate will possess strong time management skills, a solid understanding of administrative tasks, and proficiency in various software applications. This position is crucial for maintaining efficient office processes and enhancing overall productivity. Responsibilities Answer phones Greet visitors Take messages and forward them to the appropriate individuals Process credit cards transactions for various cash receipts
- Assist with creating letters/publications for various Temple, Fraternal and Charitable Projects
- Assist with other events that Oasis is involved in ( i.
e. Imperial) Receive and Sign for packages from Fed Ex and or UPS Make phone calls on behalf of the Office Assist with the filing and maintenance of Temple records Qualifications Proven experience as an Administrative Assistant or in a similar role is preferred. Strong time management skills with the ability to prioritize tasks effectively. Proficiency in computer literacy, including familiarity with phone systems and office equipment. Experience with QuickBooks is a plus but not mandatory. Excellent verbal and written communication skills. Familiarity with Google Suite applications (Docs, Sheets, Drive) is essential. Strong attention to detail and ability to work independently as well as part of a team.
- Maintain an updated hospital materials for office and events
- Send clubs and units hospital materials when requested Update patient appointments daily/ weekly/monthly in the patient tracking system
- Maintain an accurate reimbursement guideline with the help of Accountant
- Explain, mail, email, or fax a copy of the reimbursement guidelines to parents when asked or it is necessary.
