Responsibilities:

NV5 is seeking a full-time dependable and proactive Administrative Assistant to join our Charlotte, NC office. This full-time role supports all departments by performing a wide range of administrative tasks that help ensure the office runs smoothly and efficiently. The ideal candidate is detail-oriented, organized, and adaptable, with the ability to prioritize and complete tasks independently in a fast-paced environment. Provide general administrative support across all office groups, including: Archiving, binding, cleaning, and organizing Typing, proofing, and editing correspondence Creating and updating spreadsheets Mailing, copying, faxing, filing, and invoicing Input client and project data, expense reports, and labor adjustments/timesheets into Deltek Vantagepoint Assist with billing processes by: Coordinating with project managers Compiling and organizing documentation Coordinate or complete various office tasks, such as: Building and equipment maintenance Running office errands Managing conference room schedules Ensuring cleanliness and organization of the office Print and scan small and large documents Manage front desk duties, including answering multi-line phones and greeting visitors Assist in planning and coordinating internal office events Liaise with vendors for event planning, project support, and equipment maintenance Take on special projects as needed

Qualifications:

Proven administrative or office support experience Proficient in Microsoft Office Suite (Word, Excel, Outlook) Experience with Deltek Vision a plus Strong written and verbal communication skills Exceptional organizational and time management abilities Professional and positive demeanor Ability to handle multiple tasks with attention to detail High school diploma or equivalent required; associate or bachelor’s degree preferred #
