Job Description
Description We are looking for a detail-oriented Administrative Assistant to join our team in Charlotte, North Carolina. This position is ideal for someone who thrives in a fast-paced office environment, excels at multitasking, and has a proactive approach to problem-solving. The role requires strong organizational skills and the ability to work independently while maintaining professionalism in a casual work setting.
Responsibilities:
- Manage electronic filing systems and ensure documents are organized and accessible.
- Handle inbound customer calls, addressing inquiries and directing them to appropriate team members.
- Perform data entry tasks, including inputting lead information into client management systems.
- Coordinate vendor invoices and pass along relevant details to the appropriate personnel.
- Assist with scheduling appointments and maintaining calendars.
- Respond to email correspondence promptly and professionally.
- Provide administrative support for commercial construction and disaster recovery projects.
- Utilize Microsoft Office tools, including Excel, Word, Outlook, and PowerPoint, to complete various tasks.
- Collaborate effectively with team members to ensure smooth office operations.
- Take initiative to learn processes and make the role their own. Requirements
- Proven experience in an administrative or office management role.
- Ability to work independently with minimal supervision.
- Strong organizational skills and attention to detail, particularly with electronic filing systems.
- Proficiency in Microsoft Office applications (Excel, Word, Outlook, PowerPoint).
- Excellent communication skills, both written and verbal.
- Familiarity with customer service practices, including handling inbound and outbound calls.
- Experience with data entry and client management systems.
- Highly motivated and eager to learn new processes and contribute to team success.
