Monday through Friday, or as location requires. Core location Operating Hours are 8:00 am to 5:00 pm. Lunchtime is 1 hour per day between 11:00-2:00 scheduled with onsite team so there is continues coverage. Overtime may be required depending on meeting bookings and staff coverage.

Description:

Community Coordinator assists in the overall operation of their location to ensure a positive and welcoming atmosphere at Office Evolution.

Duties and Responsibilities:

Responsible for ensuring a positive member and guest experience by: Making oneself available to assist members with any questions/concerns. Responsible for the opening and closing procedures to ensure that café and the overall space is clean and ready. Responsible for the inventory of the café as needed and managing the par levels to ensure adequate materials both for the members and the internal team, reporting needs to Regional General Manager (RGM) Responsible for all Meeting and Events in the space by ensuring all meeting rooms are properly reserved, clean and ready for the allocated reservation. Ensuring the cleanliness of the common areas, café, restrooms, and member services throughout the entirety of the day. Maintaining the proper inventory checklist and supply order. Answering phones and directing information. Welcoming guests and members to the space, directing people as needed. Assisting members with needs by finding resolutions or directing them to the appropriate party

  • Conducting membership tours of the space when needed and completing any necessary procedures following the tour.

Assist in managing Third Parties for both Virtual Offices and Meeting Rooms. Must manage at least seven different online platforms regularly. The Virtual Offices platforms must be managed daily. This is a very important aspect, and vital for Virtual Offices. Responsible for the overall organization and success of the center’s mail both for members and for Virtual office clients with the following: Daily sorting and organizing all USPS mail and other mail/ package deliveries Promptly complete mail requests such as scanning, shredding, forwarding Delivering mail/packages to members Providing general mail support for clients and their associated questions Maintaining and managing all Virtual Mail Platforms Filing all compliance paperwork for new members and new virtual clients Ensure the accuracy of tracking spreadsheets and files Supporting the RGM in any USPS compliancy audits by providing the necessary information from records Assist in implementing Member communication with the following: Create, send, and post monthly newsletter. Assist in preparing and implementing member experiences on an as needed basis, following the direction of the RGM and management for weekly/ monthly/ yearly events. This includes following the event schedule, ensuring any ordering is completed ahead of the event, and the implementation and event clean-up. Assist with the overall membership process with the following: Assist in receiving membership leads in person, phone or email with a positive and welcoming attitude and direct them over to the Area Sales Manager (ASM) or provide immediate assistance if applicable. Gather all necessary information, this can be from a call, email, etc., ensuring that all information is accurately captured and passed to the correct team member. Send the associated links or information for sign-ups for Virtual, Community and Dedicated Desk memberships and meeting room inquiries. Preform membership tours of the space for Virtual, Community and Dedicated Desk Memberships. Additionally, when needed to assist ASM, perform Private Office tours. Assist in the following New Member Onboarding duties: Fob creations Printer setups Wi-Fi setup Overview of membership portal and reservation calendar Etc. The Community Coordinator Role will be the main Office Evolution staff at this location; they are responsible for reporting any issues with the following to the

Regional General Manager:

Member complaints/ billing issues Janitorial Plant Vendor Building issues/ repairs Access Control Printer Canteen Network/ Isofy Ect. Assist in

Membership Obligations:
  • Assist in all incoming leads and gathering all necessary information.

This can be from a call, email, etc., ensuring that all information is accurately captured. Send the associated links or information for sign-ups for Virtual, Community and Dedicated Desk memberships and meeting room inquiries. Assist RGM when needed in performing membership tours of the space for Virtual, Community and Dedicated Desk Memberships. Additionally, when needed to assist Area Sales Manager, perform Private Office tours.

  • Assist with overseeing the successful completion of all self-registered memberships This role is a vital part of the services we provide to our members.

Essential Knowledge, Skills & Abilities:

Minimum 1-year experience in the service/hospitality industry. Prior Experience organizing Meetings and Events is a huge plus. High School Diploma Required. Ability to work onsite at the designated location, Monday-Friday 8:00am-5:00pm. High standard of customer service and maintain constant hospitality for our members and guests. Strong written and oral skills Excellent organizational skills Ability to work under pressure and demonstrate flexibility. Good IT knowledge Working knowledge of Microsoft office software and Outlook Mail server

Compensation & Hours:

This is a full time, salaried position M-F 8AM to 5PM. Salary begins at $35,000

  • $40,000 annually depending on experience.

Core hours are 8:00 am to 5:00 pm. Lunch Hours are scheduled between 11:00 pm-2:00 pm. Overtime may be required depending on meeting bookings and staff coverage.
