JOB DESCRIPTION
In this role, you will serve as an integral and visible member of the Workplace Services team at the Charlotte corporate headquarters. You’ll contribute to a variety of activities that support office services and day-to-day facility operations. You will bring a proactive nature, excellent collaboration skills, a high level of organization, and very strong attention to detail. Your exceptional customer service skills and professionalism will allow you to maintain the highest level of service standards and foster positive interactions with employees.
What You’ll Be Doing:
Hospitality Greet visitors in a pleasant, positive, and professional manner. Notify employees when guests have arrived. Enter pre-scheduled visitors in the registration portal. Receive calls from building security to screen visitors who are not pre-registered. Proactively ensure excellent housekeeping standards are maintained in the reception lobby. Maintain accurate accounting of all vendor and visitor badges. Maintain a list of restaurants, caterers, hotels, and local activities helpful to visitors or personnel. Mail Services Accept all incoming packages delivered by carriers to the reception desk. Email recipients when their package has arrived. Retrieve and drop off mail at the building’s mail center. Sort large volumes of incoming mail into departmental bins. Keep a record of accountable mail using an internal system to track receipt date and recipient. Manage digital postage machine; add funds as needed, download updates, troubleshoot issues. Assist employees with shipping questions and delivery troubleshooting. Order and stock shipping and mailing supplies. Facilities Services Manage employee access badge activations and deactivation, maintain the database. Process parking requests and coordinate registrations/cancellations with Property Management. Respond to workplace service tickets, take the necessary communication and action, and follow up to ensure customer satisfaction. Submit tickets into the building management system for maintenance issues or janitorial services. Process stationery orders and maintain inventory. Assistant in a range of administrative, clerical, and office support to office services. Qualifications/Requirements Intermediate Microsoft Excel, Word and PowerPoint ability. A high school diploma is required; some colleges preferred. Minimum two years of experience providing administrative support. Demonstrated ability to communicate professionally, both verbally and in written form with internal and external customers at all levels. High level of organizational skills and proven ability to manage multiple projects simultaneously. Strong attention to detail and focus on quality and accuracy. Ability to lift, tug, pull up to fifty pounds. Professional demeanor and appearance. Working on-site, Monday through Friday. #LI-SN1 #DBCORP
