Job Summary:
We are seeking a detail-oriented and organized Order Processing Specialist to join our team. This role is responsible for processing sales orders, coordinating shipments, managing administrative tasks related to shipping and invoicing, and assisting the accounting team with accounts receivable follow-ups. The ideal candidate will have experience working with ERP systems, excellent communication skills, and the ability to multitask in a fast-paced environment. What will your mission be?
Order Processing:
Enter and manage sales orders in the company’s ERP system with accuracy and efficiency. Ensure order details, pricing, and customer information are correctly recorded. Communicate with customers about the status of their orders
Shipping Coordination:
Oversee the shipping process for assigned sales orders, ensuring timely and accurate fulfillment. Work closely with logistics providers, warehouse teams, and carriers to schedule shipments and resolve any shipping issues. Prepare and manage shipping documents, including packing lists, bills of lading, and quality documents when applicable.
Administrative Support:
Generate and distribute invoices upon shipment completion. Maintain accurate records of orders, shipments, and invoicing for internal reporting and audits.
Accounts Receivable Assistance:
Support the accounting team by following up on outstanding invoices and customer payments. Communicate with customers regarding payment status and assist in resolving discrepancies. What do we need from you? Previous experience in order processing, shipping coordination, or a related administrative role. Proficiency in ERP software and Microsoft Office (Excel, Word, Outlook). Strong organizational and time-management skills with attention to detail. Excellent communication skills, both verbal and written. Ability to work collaboratively across departments, including sales, logistics, and accounting. Knowledge of shipping processes, documentation, and invoicing is a plus. What can you expect?
