Job Summary:
The Support Specialist plays a pivotal role in ensuring the seamless operation of our office environment. This position involves managing administrative tasks, assisting the Human Resources department, and supporting other departments to create a positive and efficient workplace.
Supervisory Responsibilities:

Greet and assist visitors, ensuring a welcoming experience and directing them appropriately Coordinate the issuance of badges and parking passes for employees. Oversee the collection and return of the company equipment as needed. Order, organize, and restock office supplies to ensure availability and proper inventory levels. Support and assist the HR department. Manage the shipping of packages. Handle and process facilities-related requests to maintain a functional office environment. Design and update monthly slides for display in lobby area, featuring birthdays, anniversaries, new hires and other company announcements. Assist with training hours tracking. Maintain and update the office seating chart to reflect current arrangements. Create and update various forms as requested, including annual forms to ensure compliance and accessibility. Coordinate logistics for staff meetings, including setup and necessary materials. Coordinate catering for events, luncheons, and disaster season luncheons. Responds to and resolves administrative inquiries and questions. Coordinates and schedules travel, meetings, and appointments for managers or supervisors. Prepare agendas and schedules for meetings. Maintains office supplies and coordinates maintenance of office equipment. Assist with meetings, taking notes, and disseminating the information accordingly.

Requirements:
Required Skills/Abilities :
Must have reliable transportation and ability to pick up orders/supplies when necessary. Proven experience in administrative support or a similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Strong organizational skills with the ability to multitask effectively. Excellent verbal and written communication skills. Excellent interpersonal skills and customer service skills. Ability to handle sensitive information with discretion and maintain confidentiality. Ability to work independently. Proactive attitude with a strong sense of initiative and problem-solving skills Preferred Qualifications Experience with facilities management or office coordination. Basic knowledge of event planning and coordination. Ability to adapt to changing priorities and work in a dynamic environment.
Education and Experience:
High school diploma or equivalent; additional qualifications in office administration or related fields are a plus. One to three years of experience in an administrative support position.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 40 lbs. at a time. Must be able to walk, hear, and listen as this position will require occasionally organizing the work/storage room and setting up conference rooms for meetings.
Work Environment:
Office environment Hybrid schedule – currently Monday and Fridays are remote; we are in the office Tuesday- Thursday.
Travel Required:
Local travel when needed.
